Job Description
The Payroll/HR Administrator is responsible for ensuring efficient operations of the company by supporting core human resource functions, including benefit administration, and managing payroll processes. This role is also responsible for the company’s insurance programs (CIRSA and Pinnacol) and providing support for Board meetings.
KEY DUTIES AND RESPONSIBILITIES
Payroll Processing:
· Process employee payroll accurately and on time.
· Collaborate with the HR team to ensure compliance with payroll regulations.
· Maintain records related to payroll deductions, benefits, and taxes.
· Address payroll inquiries from employees.
Insurance Administration:
· Oversee insurance programs, including CIRSA (Colorado Intergovernmental Risk Sharing
Agency) and Pinnacol (workers’ compensation).
· Ensure timely premium payments and accurate reporting.
· Assist employees with insurance-related queries.
Benefits Administration:
· Work closely with our benefits consultant to manage open enrollment and benefits programs.
· Assist employees with benefit-related inquiries.
· Coordinate communication regarding benefits changes and updates.
Retirement Account Management:
· Collaborate with our retirement consultant to administer retirement accounts.
· Submit contribution and loan reports for retirement accounts.
· Ensure compliance with retirement plan regulations.
Board Meetings and Prep:
· Coordinate logistics for Board meetings, including scheduling, agenda preparation, and meeting materials distribution.
· Attend Board meetings and take minutes.
· Assist in preparing reports and presentations for Board members.
HR Administration:
· Managing employee records.
· Supporting recruitment processes.
· Assisting with onboarding/offboarding.
· Coordinating training sessions.
Reporting and Communication:
· Collaborate with department heads for all payroll, benefits, and insurance needs.
· Ensure compliance with local, federal, industry, and company standards.
· Identify inefficiencies and propose process improvements.
· Maintain operational guides for consistency.
· Other duties and projects assigned.
OTHER REQUIRED SKILLS:
· Written and oral communication skills
· Computer skills with demonstrated proficiency in Microsoft Office 365
· Capable of managing several priorities at once, staying organized and focused on completing tasks and meeting deadlines.
· Ability to establish and maintain effective working relationships with other employees, supervisors, participants, and the public.
SPECIAL REQUIREMENTS:
· Valid Colorado Driver’s License required.
· Attend Fair Housing training within 6 months after the date of hire.
QUALIFICATIONS
· Bachelor’s degree in business administration, Management, or a related field. A demonstrated equivalent of professional experience in a relevant role or a combination of appropriate education and experience, as deemed suitable by BHA, may be substituted for the minimum requirements.
· Proven experience in operations coordination or a similar role.
· Strong organizational and communication skills.
· Proficiency in payroll systems, insurance administration, benefits management, and retirement account administration.
· Detail-oriented and able to manage multiple tasks simultaneously.
WORK ENVIRONMENT
· Work requires normal physical activity associated with an office environment.
· Ability to regularly lift/push/pull/carry various objects of 10 – 15 pounds.
