The Leaves and Accommodations Manager oversees and administers all staff leave and workplace accommodation requests, including those associated with the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), Section 504 of the Rehabilitation Act of 1973, state and local leave laws, and short-term and long-term disability plans. Leaves and Accommodations Manager
The Leaves and Accommodations Manager oversees and administers all staff leave and workplace accommodation requests, including those associated with the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), Section 504 of the Rehabilitation Act of 1973, state and local leave laws, and short-term and long-term disability plans. The manager ensures compliance, coordinates communication, and supports employees and managers throughout leave and accommodation processes.
What You’ll Do In This Position
Leaves Management
- Serve as the primary point of contact for staff and student employees requesting leave or accommodation; ensure employees understand requirements, responsibilities, and documentation needs.
- Administer all FMLA processes from initial notice through return-to-work, including eligibility review, documentation, medical certifications, and tracking intermittent/reduced-schedule leave.
- Coordinate regularly with the Employee Relations team.
- Function as the central approver and coordinator for all staff leaves (FMLA, maternity/parental leave, short-term disability, military leave, personal leave, missionary leave, etc.).
- Manage onsite responsibilities related to long-term disability and workers’ compensation; coordinate with external administrators (Church, third-party administrators, DMBA, etc.).
- Maintain communication with employees on leave to support smooth transitions and appropriate updates for managers.
- Advise managers and employees on how various leave laws interact with paid time off, workers’ compensation, and disability benefits.
- Counsel employees on the impact of various leaves on benefits (pension, medical, savings, life insurance, vacation, sick leave, etc.).
- Oversee the return-to-work process for all leave types.
- Facilitate accommodation requests under the ADA and Section 504 when leave intersects with workplace adjustments.
- Administer all time-off programs in accordance with internal policy and applicable laws.
- Recommend policy updates to ensure ongoing legal compliance.
- Maintain complete, accurate, and legally compliant records of all leave and accommodation cases.
- Ensure accurate pay for employees on leave.
- Safeguard confidentiality of all medical records and related documentation.
- Assist staff and student employees with disabilities who request workplace accommodations through the interactive process.
- Identify qualifying disabilities and obtain medical verification when appropriate.
- Evaluate essential job functions to determine qualification and accommodation needs.
- Collaborate with employees and managers to identify and assess reasonable accommodation options.
- Determine feasibility of accommodations in consultation with management.
- Stay current on all relevant leave and accommodation laws, including FMLA, ADA, Section 504, and state/local requirements.
- Perform additional related duties as assigned.
What qualifies you for this role:
- Bachelor’s degree in human resources or a closely related field plus four years of experience as a human resources administrator, or a combination of education/experience equivalent to the above.
- Master’s degree in human resources and five years of direct experience managing FMLA/ADA/Workers’ Compensation for a large organization.
- Extensive knowledge of federal, state, and local leave regulations (FMLA, USERRA, ADA/ADAAA, Section 504, etc.).
- Strong verbal and written communication skills, including ability to draft formal documentation.
- Excellent organization, attention to detail, and follow-through.
- Strong analytical and problem-solving ability.
- Ability to interpret and apply policies, procedures, and regulations.
- Outstanding judgment in applying policy to sensitive, high-risk, or emotionally charged situations.
- Understanding of laws related to financial planning in order to counsel employees facing serious medical or life events.
- Excellent understanding of benefit programs and their practical application.
- Strong computer proficiency (Excel, Word, PowerPoint, Outlook, internet research).
- High level of confidentiality and professionalism.
- Ability to work effectively under pressure and navigate high-stress or emotional situations (terminal illness, hospitalization, distressed families, etc.).
- Solid mathematical skills, including calculations of payouts, annuities, and leave balances.
- Ability to lead group presentations, team meetings, and orientations.
- Strong customer-service orientation.
- Knowledge of university HR and benefits policies and procedures.
- Experience with Workday, AIM, and leave-tracking systems.
- Certifications such as CBP, PHR, and/or SPHR.
