Job Summary

This full-time Administrative Assistant is responsible for general office support with a variety of clerical activities and related tasks. The Administrative Assistant will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, scheduling of conference rooms and greeting treatment participants, as well as additional clerical/administrative duties supporting the executive team.

Essential Job Duties and Responsibilities

  • Greets and directs visitors and treatment participants.
  • Performs front desk registration duties such as entering demographics, scheduling, and insurance verification
  • Answers telephones and directs the caller to the appropriate associate. Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
  • Receives, sorts and forwards incoming mail.
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • Assists with other related clerical duties such as photocopying, faxing, filing and collating.
  • Supports the administrative team by assisting with various administrative and clerical projects, as assigned.
  • Provides high level of professional service including demonstration of respect for participants' privacy and creation of an atmosphere of dignity and participant safety.
  • Collaborates and communicates effectively with community partners and BTC team regarding each participants progress.
  • Abides by organization policies and procedures, confidentiality laws, professional boundaries and relevant federal/state treatment regulations and standards.
  • Documents phone calls, insurance verification, lab orders and client inquiry into Care Logic EHR and Intellium.
  • Enters client data into Care Logic EHR for client for reporting outcomes such as MOTS.
  • Abides by organization policies and procedures, confidentiality laws, professional boundaries and relevant federal/state treatment regulations and standards.

Experience, Knowledge, Skills and Abilities

The following are the minimum levels required to successfully perform the Essential Job Duties and Responsibilities.

  • Computer literate; functional ability with Microsoft products.
  • Spanish bilingual strongly preferred.
  • Experience with administrative and clerical duties, required.
  • Experience with treatment participants, preferred.
  • GED/High School Diploma, preferred.
  • Demonstrated success at working effectively in a diverse, collaborative team environment, with skills in promoting inclusion and cultural responsiveness.
  • Experience in collaborating with community partners to identify shortcomings in the organization and in building partnerships to improve outcomes.
  • Excellent communication, trauma informed approach and conflict resolution skills.
  • Ability to maintain high professional standards at all times with participant, staff, and community partners.

Working Conditions

Environment and Physical Requirements: The Administrative Assistant works in an office environment and occasionally visits other site locations. These locations are subject to a variety of environmental weather conditions including rain, snow, wind, and dust. The Administrative Assistant interacts constantly with staff, visitors, program participants, government agencies, and others. The position stands, walks, bends, lifts, and moves intermittently during working hours. The incumbent must be able to lift, push, pull and move files and equipment in excess of 15 pounds.

Position Type/Expected Hours of Work: This is a full-time position. Days and hours of work are typically Monday through Friday, forty hours per week with flexibility in scheduling. The Administrative Assistant position also travels occasionally and may be required to work extended hours including evening, weekend and/or holiday work as job duties demand.
