We are a small but busy mortgage brokerage and need a sharp, reliable, proactive right-hand person to help keep everything running smoothly. If you're the type who sees a problem, fixes it without being asked, and thrives on making things happen fast and efficiently — keep reading. We are looking for someone who learns quickly and is tech savvy with multiple online systems.
We’re not just looking for someone to “manage tasks.” We’re looking for someone with Olivia Pope-level initiative(minus the scandals), someone who’s resourceful, creative, confident, and can anticipate needs before they're spoken. Clear and professional communication skills are a must, you will be communicating daily with real estate agents, clients, and other business professionals. Mortgage experience is a bonus but the right attitude, work ethic, and ability to stay several steps ahead is what really matters.

Tasks include but are not limited to:
- Manage broker communication including system texts and emails
- Respond to client, agent, and LO needs and requests for information
- Manage social media posts and interactions, including video editing
- Create marketing materials in Canva
- Assemble open house kits for LO’s and real estate agents
- Event planning - past client appreciation, recruiting, speaking engagements, etc.
- Small bookkeeping tasks, including running payroll and paying quarterly state taxes
- Compile and submit MCR Reports
- Renew annual licensing, insurance, and lender contracts
- Be a point of contact for bookkeeper, compliance, CPA, etc.
- Manage and update Salesforce CRM info
- Help create SOP materials
- Order and ship client gifts
- Research as needed (industry info, new tools, etc.)
- Personal Assistant type tasks for Broker
Requirements:
- Job Experience - 2-3 years in an admin support or customer service role
- Education - High School Diploma/GED required
Pay: $18.00 - $22.00 per hour
Expected hours: 25.0 per week
Work Location: Hybrid remote in Ponte Vedra, FL 32081
