About the Role

We are looking for an Executive Assistant to provide structured administrative and secretarial support while helping maintain clear communication and operational organization across multiple client engagements. This role supports international clients and internal coordination routines, requiring strong organizational skills, professional communication, and operational reliability. This is not an observational role. You will operate with real responsibility, helping maintain administrative structure, communication clarity, and service quality across ongoing engagements. You will work directly with the Head of Administration, supporting coordination routines, client communication, and internal organization processes. While most work is performed remotely, being based in Florianópolis allows occasional in-person alignment meetings when needed, helping resolve matters more efficiently.

Key Responsibilities

  • Provide administrative and secretarial support across multiple client engagements
  • Communicate directly with international (English-speaking) clients
  • Coordinate scheduling, follow-ups, and orgaanization of ongoing requests
  • Support weekly reports and administrative coordination routines
  • Help maintain clarity, structure, and organization across client workstreams
  • Assist with documentation, task tracking, and operational follow-ups
  • Support communication flow between internal leadership and clients
  • Help ensure consistency and quality across administrative processes

Requirements

Must have:

  • Intermediate to advanced English
  • Strong written and verbal communication skills
  • High level of organization and attention to detail
  • Professional maturity and reliability
  • Availability for 40 hours per week
  • Based in Florianópolis

Nice to have:

  • Previous experience in executive assistance, administration, or client support
  • Experience working with international clients
  • Experience coordinating schedules, documentation, or reports
  • Experience working in structured or corporate environments
