Position Overview
The Construction Assistant provides high‐level administrative, coordination, and project support to the Director of Construction. This role is office‐based and focuses on organizing project documentation, managing communication, tracking schedules, and ensuring the construction department operates efficiently. The ideal candidate is detail‐oriented, proactive, and comfortable supporting multiple projects simultaneously.
Key Responsibilities
- Administrative Support — Manage calendars, schedule meetings, prepare agendas, and organize travel for the Director of Construction.
- Document Control — Create, organize, and maintain project files, drawings, submittals, RFIs, change orders, and closeout documents.
- Project Coordination — Assist with project start‐up packets, subcontractor onboarding, permit applications, and compliance documentation.
- Communication Management — Draft and distribute internal and external correspondence, including meeting minutes, project updates, and client communications.
- Reporting & Tracking — Maintain project logs (RFI, submittal, change order, punch list), update project schedules, and prepare weekly/monthly status reports.
- Financial Support — Assist with purchase orders, invoice coding, budget tracking, and vendor follow‐up.
- Bid & Preconstruction Support — Help prepare bid packages, collect subcontractor proposals, and organize preconstruction documents.
- Software & Systems — Enter and update information in Microsoft Excel
- Quality & Compliance — Ensure all documentation meets company standards and supports safety, quality, and compliance requirements.
- General Office Support — Answer phones, greet visitors, order supplies, and support daily office operations for the construction department.
Qualifications
- 2–4 years of administrative or project coordination experience (construction industry preferred).
- Strong proficiency with Microsoft Office (Excel, Word, Outlook, Teams).
- Experience with construction management software is a plus.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities.
- Detail‐oriented, dependable, and able to work independently.
- Ability to maintain confidentiality and handle sensitive information.
