JOB DESCRIPTION

Office Administrator

The role of the Office Administrator is to help us run efficient businesses by providing an internal auditing function, assisting with paying bills, helping in our Dispatch office and taking on various office and Human Resource tasks.

This is a full time job, working out of our office at 5600 S. State Road. While the hours can be a bit flexible, a general schedule is 8am-4pm Monday through Friday. This role reports directly to the owners of the businesses.

Essential Job Functions:

· Revenue Processing (Daily):

o Sorting and processing invoices from the previous day’s sales for two companies

o Verifying accurate pricing, payments, and other information in our software program

o Completing bank deposits

o Contacting customers for POs

· Accounts Payable (Weekly):

o Receiving, sorting and paying invoices

· Dispatching (Weekly):

o Assisting our Dispatch team with call taking and dispatching functions (on the schedule for a few hours per week or as needed)

o Assisting with our Towing Release position at Brewer’s on occasion (filling in as needed)

· Vehicle Auctions (Monthly):

o Corresponding with police departments, preparing for and assisting with vehicle auctions

o Completing bi-monthly lot inventory

· Various Office Tasks:

o Submitting monthly fuel credits

o Assisting with benefits administration

o Assisting with Private Property Contract management

o Assisting with customer compliments and complaints

o Assisting with website updates

o Assisting with special administrative projects

Required Knowledge, Skills, Abilities, and Minimum Qualifications:

· Computer Proficiencies

o Microsoft Office (Excel, Outlook, Word, etc.)

o QuickBooks (for Accounts Payable purposes)

· Skills and Abilities

o Attention to Detail

o Organizational Skills

o Ability to learn towing software program

o Multi-tasking (dispatching requires answering phones, talking on the radio and using the computer)

o Customer/Vendor interactions – comfortable on the phone and in person

· Minimum Qualifications

o Relevant job experience

o High School Diploma

Physical Demands and Work Environment:

· Sitting or standing at a desk in an office

· Typing on a computer keyboard and using a computer mouse

· Filing paperwork

· Driving personal vehicle to the bank daily (2 miles away)

· Driving personal vehicle from one business location to another (on occasion; between Plymouth Rd and State Rd.)

Job Type: Full-time

Pay: $20.00 - $25.00 per hour

Expected hours: 35 – 40 per week
