Role Overview
We’re a boutique design / build / creative technology studio looking for an Office Manager to support our team, producers, and leadership by keeping the studio properly staffed and running smoothly.
You’ll monitor workloads and timelines, coordinate freelancers, support recruiting efforts, facilitate operations needs, and help nurture the culture of the studio. This role is ideal for someone who loves organization, communication, and helping creative teams do their best work. This position reports to the Controller.
Compensation:
Salary Range: $60,000 - $70,000 annually

Core ResponsibilitiesStudio & Office Operations
- Manage day-to-day studio operations, ensuring the office is organized, functional, and welcoming
- Oversee conference room scheduling, setup, and readiness (AV, furniture, supplies)
- Coordinate internal meetings, reviews, and all-hands gatherings
- Maintain shared calendars, meeting norms, and booking protocols
- Serve as point person for office vendors (cleaning, maintenance, IT support, supplies, utilities)
- Work with acquisition to manage office inventory, ordering, and restocking (kitchen, supplies, equipment)
- Ensure studio spaces reflect company standards for professionalism, design, cleanliness, safety, and presentation
- Identify operational inefficiencies and propose improvements to studio workflows
Front-of-House & Experience
- Greet and host visitors, clients, candidates, and partners
- Coordinate guest arrivals, security access, and visitor logistics
- Support client meetings with hospitality setup (refreshments, materials, room flow)
- Help maintain a professional yet warm studio atmosphere aligned with company culture
People Operations / HR Support
- Coordinate onboarding for new hires, including:
- Scheduling onboarding meetings
- Preparing welcome materials
- Coordinating first-day logistics (workspace, access, introductions)
- Support department heads in recruitment efforts - writing job descriptions, posting, screening, and setting up interviews.
- Send and track employment agreements and related documentation
- Maintain employee records and onboarding checklists
- Support offboarding processes (paperwork coordination, access changes, logistics)
- Assist with administration coordination (as applicable) Company Policy Renewal, COI requests, Workers Comp claims, and unemployment responses, Health Insurance Open Enrollment, Cobra, administration of plans.
- Act as a confidential first point of contact for basic employee questions, escalating as needed
Internal Coordination & Culture
- Support leadership and department heads with scheduling, internal communications, and logistics
- Help coordinate internal events, team gatherings, and studio rituals
- Serve as a connective tissue between teams, ensuring smooth handoffs and communication
- Uphold and reinforce studio standards, norms, and shared expectations
Qualifications & Skills
- 2 years of experience in studio management, office management, operations, or similar roles
- Experience in a creative studio, agency, design-build, or production environment preferred
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Comfortable handling sensitive information with discretion and professionalism
- Highly proactive with the ability to anticipate needs before they arise
- Confident working independently while collaborating closely with leadership
- Proficiency with Google Workspace calendars, scheduling tools, and basic HR / document systems
