1. Position Purpose
The Logistics & Customer Service Support position coordinates the daily movement of Less-Than-Truckload (LTL) shipments across our regional network. This role serves as the primary communication link between customers, drivers, and internal operations teams, ensuring freight is scheduled, tracked, and delivered on time.
2. Core Responsibilities
Shipment Coordination & Tracking
- Schedule and route daily LTL shipments in alignment with operational capacity and customer requirements.
- Monitor shipment progress using the Transportation Management System (TMS) and proactively address potential delays.
- Communicate real-time updates to customers, dispatchers, and drivers.
Customer Service & Communication
- Serve as the first point of contact for customer inquiries regarding rates, shipment status, and delivery timelines.
- Provide accurate freight quotes and rate confirmations.
- Manage billing inquiries and ensure timely resolution of discrepancies.
Issue Resolution & Claims Support
- Collaborate with dispatch and drivers to resolve in-transit challenges such as missed pickups, delays, or re-routes.
- Assist in the investigation and resolution of freight claims for damaged or lost shipments.
- Document service failures and recommend corrective actions to prevent recurrence.
Data Entry & Documentation
- Accurately enter shipment details, pickup requests, and delivery confirmations into the TMS.
- Verify all documentation, including bills of lading (BOLs), rate sheets, and delivery receipts, for accuracy and completeness.
- Maintain organized digital and physical records for compliance and audit purposes.
Process Improvement & Collaboration
- Identify workflow inefficiencies and recommend process enhancements.
- Participate in cross-departmental meetings to align customer service and operational priorities.
- Support special projects and seasonal volume surges as assigned.
3. Skills & Competencies
- Knowledge of LTL transportation operations, freight documentation, and industry terminology.
- Proficiency with TMS platforms (TCS, Samsara, Imaging).
- Strong verbal and written communication skills with a customer-first mindset.
- Ability to problem-solve under time-sensitive conditions.
- High attention to detail and accuracy in data handling.
- Collaborative approach to working with cross-functional teams.
