Job Summary
The Bookkeeper is a Fiscal Coordinator for the Branch County Commission on Aging is responsible for managing and performing the agency’s fiscal reporting and financial support functions. This position ensures accurate collection, documentation, and deposit of agency funds; prepares reimbursement vouchers; and produces required financial and program reports for the Executive Director and Board of Directors. The role includes monitoring grant-related reporting, maintaining compliance with agency policies and procedures, and responding to fiscal inquiries from the Board.
The Bookkeeper also provides administrative and operational support, including coding billing, preparing budget documents, managing procurement, coordinating building maintenance needs, and serving as back-up for payroll verification. Additional duties include handling mail, assisting staff and clients, and completing general office tasks essential to the center’s operations. Responsibilities may occasionally require work outside normal business hours. The Fiscal Coordinator works collaboratively with agency staff and reports directly to the Executive Director while remaining accountable to the Commission on Aging Board of Directors.
Key Responsibilities
- Collect documents and deposits to the County Treasurer office agency monies.
- Prepares and submits reimbursement vouchers for approval by the Executive Director and Board of Directors.
- Prepare a variety of program reports, studies and related information for the Board of Directors and Executive Director.
- Plans and organizes to ensure the prompt and accurate filing of reports, vouchers and requests necessary monthly and weekly.
- Prepare monthly and quarterly reports related to grant funding monies.
- Examines work for exactness, neatness and conformance to policies and procedures.
- Studies agency objectives, policies and procedures to ensure efficiency and effectiveness for operation duties. Follows written and oral instructions and assignment of duties.
- Responds to Board inquiries relating to fiscal activities.
- Assists in training COA personnel in fiscal duties and/or specialized duties of the office as necessary for back-up personnel.
- Works as the back-up to the Executive Director on verifying bi-weekly payroll information for submission to the county payroll office
- Handles all incoming and outgoing mail
- Accurately codes billing to various departments.
- Prepares budget and report documents for department coordinators
- Ordering and procurement of equipment and supplies
- Oversees/coordinates all maintenance, repairs, property upkeep
- Work collaboratively with the Maintenance Assistant regarding repairs, ordering, and general upkeep of the building
- Performs a variety of miscellaneous duties such as typing, filing, copying, corresponding, answering phones, running errands, assisting clients with special requests, picking up supplies as required for activities and assisting with projects as necessary to the operation of the center.
- Performs other duties as assigned by Director
- It is recognized that responsibilities may dictate the devotion of time outside of normal office hours
Minimum Requirements
- Education: High school graduate.
Qualifications
- Ability to work well with senior citizens
- Good understanding of accounting procedures
- Able to perform tasks with spreadsheets, data base, ledgers and non-profit accounting.
- Understand and solve problems involving basic math
- Able to work with accuracy in Excel Word software programs
- Good organizational skills
- Use tools and equipment necessary to accomplish assigned tasks
- Ability to demonstrate and sustain strong work ethic, evidenced by prompt and consistent attendance and diligence in completing tasks
- Follow written or verbal directions
Physical Requirements
- Ability to lift 20 lbs. moving furniture and equipment a few times per week to assist with activity set up.
Working Conditions
- This is primarily an office job.
- This position is designated to handle most errands for the staff through travel within the City of Coldwater.
- This position is asked to help with moving tables, chairs, and equipment 2-3 times per week.
