Job Summary
Responsible for the daily operation, safety, and functionality of the workplace, including efficient handling of all mail and packages. Ensures a professional and fully operational environment by coordinating maintenance, vendor services, compliance with business continuity plans, and secure mailroom processes. Requires knowledge of basic building regulations and confidentiality procedures.
Primary Responsibilities
- Conduct daily inspections of office spaces to ensure cleanliness, safety, and readiness.
- Coordinate with vendors and internal teams for maintenance, repairs, and supply replenishment.
- Monitor and report on building systems, including fire suppression, humidity sensors, and other environmental controls in critical areas.
- Follow protocols outlined in the Business Continuity Plan (BCP) for facilities operations.
- Participate in periodic risk assessments and contribute to mitigation strategies.
- Maintain readiness for hurricane season and other disruptions by executing pre-defined contingency actions.
- Supervise compliance with safety standards and applicable building regulations.
- Manage inventory of office equipment, furniture, and supplies.
- Conduct regular training for staff on emergency procedures and safety protocols.
- Prepare reports on preventive and corrective maintenance activities.
- Support infrastructure improvement projects.
- Ensure accessibility and adequate conditions for people with disabilities.
- Control access to restricted areas and monitor electronic security systems.
- Coordinate office layout changes and workstation moves.
- Manage service provider contracts and monitor vendor performance.
- Perform internal audits for compliance and safety.
- Assist with the organization of internal events and meetings, including logistics for spaces and equipment.
- Act as the focal point for reporting incidents and emergencies related to facilities.
- Receive, sort, and distribute all incoming and outgoing mail, including interoffice, certified, and registered mail.
- Operate and maintain postage equipment to ensure accurate metering and labeling.
- Maintain logs for incoming packages and track deliveries to recipients.
- Secure mailroom access and document authorized personnel and lock mechanisms.
- Implement mailroom continuity protocols during emergencies (e.g., unplugging and covering equipment, securing mail, documenting access).
- Collaborate with internal staff to resolve mail delivery or processing issues.
- Handle confidential materials according to company policies.
- Manage mailroom supplies and inventory.
- Liaise with postal services and couriers to resolve delivery issues.
- Stay updated on postal regulations and internal procedures.
- Prepare periodic reports on mailroom activities and incidents.
- Comply with health, safety, and security standards.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- 2 years of experience in facilities coordination, office services, mailroom, or related clerical support.
- Familiarity with basic building systems, vendor coordination, postage machines, and mail handling procedures.
- Basic knowledge of safety standards, building regulations, and confidentiality procedures for documents and mail.
- Strong organizational skills, attention to detail, communication, and problem-solving abilities.
- Ability to work independently, respond effectively in urgent or emergency situations, and operate delivery tracking systems while maintaining accurate records.
