Job Overview

The Site Coordinator plays a central leadership role in the daily operations of the Boys & Girls Club's 21st CCLC after-school program. This is a fast-paced, highly interactive position. The Site Coordinator role requires strong organizational skills, youth management, communication skills, and the ability to assist in leading staff while ensuring safety and compliance. The ideal candidate is dependable, proactive, and confident in handling both administrative tasks and real-time interactions with youth and parents.

Hours- 12:00 PM to 6:00 PM Monday - Friday, Children are present from 3:25 PM to 6:00 PM

What you'll do

This is a very detailed list of the job duties. This makes it seem like an endless amount of responsibilities, but it has been broken down for easier understanding. Your administrative team will support you and work with you on a lot of these tasks.

Program Operations & Daily Tasks

  • Arrive around noon to plan and select daily activities based on the 21st CCLC Master Schedule. (Activities include Healthy Habits, Triple Play, Power Hour, DIY STEM, Be A Star, etc.)
  • Post activities to Google Classroom or distribute them as you see fit.
  • Help greet youth as they arrive, assist with transitions, and maintain visibility in program areas when needed.
  • Walk through age-level rooms (K-2, 3-5, 6-8) periodically to support staff and ensure youth are engaged.
  • Serve as the on-site point of contact. Youth and staff will come to you first when in need of assistance.

Communication & Parent Assistance

  • Before the front desk arrives, respond to parent phone calls, questions, and concerns with professionalism.
  • If the front desk is unable to, contact parents when children are sick or need to be picked up due to behavior or injury.
  • Communicate disciplinary issues and disciplinary decisions with parents decisively and respectfully.
  • Handle parent complaints, escalations, and difficult conversations.

21st Century Community Learning Center Grant Assistance

  • Contact the Alma School District administrative office via email to obtain student ID numbers for new members.
  • Create new member accounts in Cayen.
  • Run weekly attendance reports in Cayen and ensure staff are completing attendance.
  • Enter Healthy Habits attendance weekly.
  • Attend required 21st CCLC trainings (approx. 3 per calendar year) with the Unit Director and assist with the annual YPQA.

Staff Leadership & Support

  • Build and maintain the staff schedule; adjust for absences and coverage needs. (We typically create one schedule at the beginning of the semester.)
  • Communicate schedule changes promptly.
  • Assist in planning/facilitating staff meetings.
  • Assist in the interviewing/hiring process.

Additional Responsibilities

  • Maintain a calm, fair, and consistent presence during challenging situations.
  • Assist with annual fundraising events as needed.
  • Assist with providing materials to volunteers as needed.
  • Assist with scheduling/finding staffing for gym rentals as needed.
  • Support upper management with additional tasks as needed.

Qualifications

  • Experience working with youth required; supervisory experience preferred
  • Ability to lead staff, manage schedules, and uphold club policies
  • Strong organizational skills with the ability to manage multiple priorities effectively
  • Strong written and oral communication skills
  • Associate's, Bachelor's, or higher degree in Education, Administration, or related field; advanced degrees are a plus
  • Ability to navigate attendance systems, Google tools, Teachers Pay Teachers/other education resources, and basic computer programs.
  • Calm and dependable in high-energy, fast-paced environments.
  • Must meet all background check requirements and complete all required BGCA trainings before starting.

Pay: $ $18.50 per hour
