Receptionist (Part-Time)

Schedule: Monday-Friday, 1:00 PM - 6:30 PM

Position Summary

The Receptionist serves as the first point of contact for youth, families, staff, volunteers, and visitors entering the Club. This position creates a welcoming, organized environment while supporting front desk operations, youth safety, administrative records, data entry, calendar coordination, and routine personnel paperwork.

The ideal candidate is friendly, dependable, highly organized, detail-oriented, and comfortable handling confidential information in a busy, community-focused environment.

Essential Duties and Responsibilities

Reception and Customer Service

· Welcome youth, families, visitors, and community members to the Club.

· Answer and direct incoming phone calls and take accurate messages.

· Provide basic information regarding Club programs, schedules, procedures, and upcoming activities.

· Ensure visitors follow Club sign-in and safety procedures.

· Maintain a professional, helpful, and welcoming front desk presence.

· Notify supervisors of safety, security, visitor, or facility concerns as they arise.

Youth Check-In and Authorized Pick-Up

· Assist youth with daily check-in procedures as needed.

· Verify photo identification and authorized pickup status before releasing youth to approved adults.

· Contact program staff when parents or guardians arrive for pickup.

· Follow all Club policies related to youth safety and authorized release procedures.

· Maintain confidentiality regarding member and family information.

Administrative Support, Records, and Data Entry

· Perform clerical and administrative tasks including filing, scanning, copying, document preparation, and data entry.

· Maintain organized paper and electronic records in accordance with established procedures.

· Enter and update information in spreadsheets, databases, and other tracking systems, checking entries for accuracy and completeness.

· Collect forms, track missing information or signatures, and route completed documents to the appropriate staff member.

· Assist with calendar coordination, meeting or appointment scheduling, and reminders as assigned.

· Initiate and process required background screenings using established procedures and systems.

· Prepare, collect, review, and organize routine onboarding paperwork, including following up on missing forms, information, or signatures.

· Prepare and process routine offboarding paperwork and related records as directed.

Facility and Front Office Support

· Maintain a clean, organized, and welcoming front lobby and reception area.

· Restock front desk materials, forms, and office supplies.

· Perform light cleaning and organizational tasks as needed.

· Support other routine administrative or front office tasks as assigned.

Qualifications

· High school diploma or equivalent required.

· Previous experience in reception, customer service, office administration, records management, data entry, childcare, or a youth-serving environment preferred.

· Strong communication, interpersonal, and customer service skills.

· Strong attention to detail and ability to organize, prioritize, and follow through on routine tasks.

· Basic proficiency with computers, email, calendars, spreadsheets, databases, telephone systems, and standard office equipment.

· Ability to follow established procedures and accurately process forms and records.

· Ability to maintain confidentiality, exercise sound judgment, and appropriately route sensitive questions or concerns.

· Ability to remain calm, professional, and organized in a busy environment.

· Must successfully complete all required background checks and screenings.

Physical Requirements

· Ability to sit, stand, and move throughout the workday.

· Ability to occasionally lift and carry up to 25 pounds.

· Ability to perform light cleaning and organizational tasks.

Compensation

$19.50-$21.50 per hour, depending on qualifications and experience.

Bilingual English/Spanish applicants are encouraged to apply.
