Job Description Summary The Administrative Assistant (Temp) is responsible for ensuring smooth daily operations by managing front desk responsibilities, coordinating supplies and orders, handling basic financial tasks, and supporting staff and membership services. This position requires strong organizational skills, attention to detail, and a customer-focused mindset. Essential Duties & Responsibilities Greet visitors and answer incoming calls with professionalism, ensuring a welcoming experience for all. Manage the Club s general voicemail and email system. Coordinate incoming and outgoing mail. Maintain and organize office and program supplies and requisitions. Collect and process receipts and payments. Enter deposit data accurately into the NetSuite. Assist with staff purchases such as logo gear. Support collections and follow-up as needed. Assist with data entry for membership records and updates. Process and track blue cards (or relevant membership documentation). Coordinate meeting preparation such as reserving space and ordering food. Additional Responsibilities Assist with fundraising events as directed. Assist with asset audits. Attend and participate in meetings as directed. Assist with youth program needs as directed. Perform other duties as assigned. Required Knowledge, Skills, and Abilities Proficient in Microsoft Office Suite Knowledge of accounting principles and practices. Proficient math skills, including the ability to perform calculations; ability to analyze data to determine accuracy with extreme attention to detail. Work as a team member using a positive approach to offer suggestions and achieve continuity. Excellent customer service and interpersonal skills. Excellent verbal and written communication skills. Ability to operate with flexibility, adaptability, and organize multiple priorities. Ability to pass a Department of Human Services background check Education & Work Experience Experience: 1 year of related experience Fundamental Relationships Maintains consistent, daily interaction with staff, members, and supervisors to exchange information, address concerns, and provide guidance. Engages with members to support behavior management and development. Build and sustain relationships with community organizations, schools, and families to support member success.
