The Boys & Girls Club of Atlantic City is seeking a welcoming and highly efficient professional to join our growing team! This role requires a skilled Membership Coordinator who is responsible for ensuring the organization is successfully administering our data management system, MyClubHub (Salesforce product). Ensures that the system is user friendly and meets the needs of employees and families. Manages and maintains an accurate accounting of membership, status, and program involvement for required reporting. Supports the Unit Director by using a variety of project management, communication, and organizational skills.
Key Responsibilities- Member Management:
- Builds out the enrollment process and ensures that Atlantic City Boys & Girls Club is managing the data contained in member database system is accurate and up to date.
- Processes State Insurance Vouchers submitted by eligible families.
- Monitors outstanding balances and make collection calls as necessary.
- Ensures staff are trained to effectively use MyClubHub and understands the importance of data validity.
- Provides customer service support to all BGCAC families, including but not limited to enrollment/registration support and processing of fees.
- Compiles regular reports reflecting activities, attendance, participation, outcomes, or other data as needed.
- Serve as the key liaison to BGCA for MyClubHub day-to-day usage and support for users. Make decisions regarding the need to escalate issues and report to appropriate contact(s) with BGCA. Communicates support needs to BGCA in a timely manner.
- Partner with BGCA to learn about new features as they are released, and ensure local users are aware of and trained on these features.
- Collaborates with CEO to develop and evaluate procedures relating to enrollment, payments, and reporting.
Key Responsibilities- Data Management:
- Develop and implement procedures to ensure quality and data practices are adopted, ensuring appropriate protection of sensitive data.
- Creates and maintains programmatic scorecards using MyClubHub data to support quality discussions and decision making.
- Collaborates with the Operations teams to identify and resolve complex data issues in a timely and collaborative manner.
- Assist Operations in development of data collection and analysis, including but not limited to member and parent feedback surveys.
- Assist supervisor in providing required data to Club’s grantors to ensure on-time submission of reports and proposals.
Other:
- Actively participates in events and activities as required.
- Assume other duties as assigned.
Experience:
The ideal candidate will have the following knowledge, skills and abilities:
- 2-3 years of experience or equivalent combination of education & experience in a similar role; Bachelor’s degree from an accredited college or university preferred.
- Strong attention to detail and high level of data entry accuracy.
- Takes initiative as required to effectively complete the role.
- Excellent interpersonal and customer service skills.
- Ability to troubleshoot common software and network issues independently.
- Ability to plan, organize and manage complex initiatives with varied deliverables.
- Ability to juggle multiple projects at once and develop solutions to problems with limited supervision.
- Thrives in a fast-paced environment with excellent time-management skills.
- Proficient in Microsoft programs such as Word, PowerPoint, Publisher, Excel, and Outlook.
Job Type: Full-time
Pay: $19.36 - $22.75 per hour
Expected hours: 40 per week
