The Membership Coordinator is responsible for maintaining the front desk while providing exceptional customer service to members, parents, staff, visitors and vendors. Responsibilities also include membership maintenance, specialty program and league registration as well as cash handling, membership management software data entry and maintenance. The Membership Coordinator is also accountable for Club member safety by enforcement of the Safe Passage policy and procedures.
Location: 708 Evans Avenue, Valparaiso, IN 46383
Typical Hours: Monday-Friday 11am to 7pm
Full-Time Up to 40 hours a week
Major Duties and Responsibilities:
- Serve as a Club ambassador by greeting all members, parents and staff as well as monitoring and tracking all visitors and vendors.
- Maintain the appearance, safety and security for the front desk area.
- Maintain master calendar of Club activities and events as well as communicate and disperse information about upcoming events and activities to members, parents, staff, volunteers and general public.
- Answer all telephone calls and route as necessary; provide expert Club and program information as requested.
- Monitor Club member recruitment, enrollment and renewal process, assuring all applications are complete and contain the required supporting documents.
- Collect membership, program, league and rental fees, and issue paid receipts and prepare bank deposits.
- Enforce the organization’s Safe Passage policy in the dismissal of Club members.
- Maintain accurate records relating to application intake, daily and program attendance, parent information and member files.
- Maintain monthly and daily reports as needed for program support and assist Club Director with all reporting requirements involving Club membership.
- Maintain Club membership management database software.
- Maintain supplies for facility and front desk area.
- Attendance of all staff/agency meetings, as required.
- Perform other incidental and related duties as required and assigned.

Knowledge/Skills Required:
- High school diploma or equivalent
- One year experience with administrative functions
- Demonstrated excellent customer service skills
- Working knowledge of youth development as well as experience with Boys & Girls Clubs preferred
- Computer competency with working knowledge of computer programs and software
- Ability to communicate effectively with youth, parents, staff, volunteers and general public
- Self-starter with exceptional interpersonal and organizational skills with a keen sense of prioritizing, time management and follow through.
