Position Summary
The Assistant Controller supports the Director of Finance in maintaining accurate and compliant financial reporting. This role involves managing accounting operations, preparing financial statements, ensuring regulatory compliance, and implementing internal controls. The Assistant Controller also contributes to strategic financial planning and process improvement.
Key Responsibilities
Accounting & Financial Operations
- Post ACH, credit card, and e-check payments
- Post electronic withdrawals and maintain daily cash balances
- Perform monthly bank reconciliations
- Review and verify account coding for Accounts Payable invoices
- Reconcile general ledger accounts and assist with month-end close
- Prepare monthly financial statements and assist with year-end closing
- Post LIFO expenses and review related invoices
Payroll & Benefits
- Assist with payroll processing and serve as backup
- Maintain payroll data in ADP and respond to employee inquiries
- Administer payments for medical, life, and disability insurance
- Assist with the annual 401(k) audit
Reporting & Compliance
- Prepare annual insurance renewal questionnaires and industry surveys
- Assist with annual tax return preparation
- Compare firm data to industry benchmarks
- Develop forecasting tools for financial analysis
- Maintain chart of accounts in Sage
- Prepare and update annual budget templates
- Generate financial reports for the Executive Committee and Principals
Client & Employee Support
- Manage accounts receivable and follow up on late payments
- Address employee questions related to billing, receivables, or work in process
- Serve as backup for the Firm Accountant, including posting payments, deposits, and issuing checks
Other Responsibilities
- Gain proficiency in firm software and workflows
- Maintain awareness of firm marketing strategies
- Uphold the company’s code of ethics, independence rules, and quality control practices
- Participate in firm events and functions
Qualifications
Education:
- Bachelor’s degree in Finance, Business Administration, or Accounting
- CPA preferred
Experience:
- Minimum 3 years as an Assistant Controller, preferably in a professional services environment
- Proficiency in spreadsheets, databases, and financial software
- Strong understanding of GAAP and automated accounting systems
