Description

As a Sales Administration Coordinator at Bow Robotics, you will play a critical role in optimizing sales processes, managing data, and supporting strategic decision-making. You will be integral to enhancing our sales processes and driving data-driven decision-making. This individual will support forecasting and process improvement initiatives. Reporting to the President, you will leverage Salesforce to create reports, dashboards, and forecasts that drive efficiency and performance. You will also handle quoting and invoicing daily, ensuring seamless sales operations. Your strong organizational and analytical skills will enhance collaboration across teams and contribute to the company's overall growth.

Responsibilities

  • Sales Process Optimization: Analyze and refine sales processes to improve efficiency and effectiveness.
  • Quoting & Invoicing: Generate and process quotes and invoices daily within Salesforce, ensuring accuracy and timeliness.
  • CRM & Data Management: Maintain and update Salesforce, ensuring accurate customer, sales, and financial data.
  • Report & Dashboard Creation: Build, manage, and analyze Salesforce reports and dashboards to provide insights on sales performance, pipeline health, and revenue forecasting.
  • Financial & Accounting Support: Assist with revenue tracking, sales forecasting, and commission calculations.
  • Collaboration: Work cross-functionally with sales, marketing, and finance teams to align objectives and streamline operations.
  • Training & Support: Assist in onboarding and training sales team members on Salesforce and sales processes.
  • Customer & Vendor Setup: Facilitate the setup of new customers and vendors,ensuring accurate data entry and compliance with company procedures.
  • Purchase Orders & Vendor Management: Process and send purchase ordersto vendors, ensuring timely procurement and accurate documentation.
  • ERP System Management: Enter jobs and track progress within Service Fusion,ensuring accurate job tracking until completion.
  • Marketing Support, Lead Coordination & Tracking: Ensure all inbound leads (e.g., Google Ads, website, referrals) are accurately entered, assigned, and tracked within Salesforce. Maintain proper lead source attribution and support marketing reporting by ensuring data completeness and follow-up visibility.

Qualifications

  • Attention to Detail: Strong organization skills with high accuracy in managing sales data.
  • Salesforce Expertise: Experience in creating reports, building dashboards, and managing quoting processes in Salesforce.
  • Quoting & Invoicing: Strong ability to process daily quotes and invoices with accuracy.
  • Microsoft Excel Proficiency: Ability to analyze data using pivot tables, formulas, and financial modeling.
  • Sales Operations Experience: Background in sales support, analytics, or operations is a plus.
  • Attention to Detail: Strong organizational skills with high accuracy in managing sales data.
  • Analytical & Accounting Mindset: Ability to interpret financial data, track revenue, and support financial reporting.
  • Strong Communication Skills: Ability to collaborate across multiple teams effectively.
