Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems, directing calls accurately and professionally while providing excellent customer support.
- Handle all clerical duties including data entry, filing, proofreading, and maintaining organized records.
- Assist with office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools.
- Support administrative functions by managing correspondence, preparing documents using Microsoft Office and Google Workspace, and performing light typing tasks.
- Maintain a tidy reception area and ensure all office supplies are stocked and organized.
- Provide exceptional customer service by addressing inquiries efficiently and courteously, supporting overall office operations.
Qualifications
- Proven experience in front desk or receptionist roles with strong office management skills.
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, data entry, and general computer literacy.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Bilingual abilities are highly desirable to assist diverse client needs.
- Demonstrated phone etiquette with experience managing multi-line phone systems.
- Clerical experience including filing, proofreading, calendar management, and administrative support.
- Prior customer service experience emphasizing professionalism and positive communication.
- Ability to work independently with excellent time management skills; personal assistant or administrative assistant experience is advantageous.
