Job Overview
We are seeking an energetic and detail-oriented Front Office Supervisor to oversee the daily operations of our medical practice. This role ensures an exceptional patient experience while maintaining efficient workflows, consistent staff performance, and adherence to practice policies. The Front Office Supervisor serves as the first level of management for front office personnel, allowing the Practice Administrator to focus on overall practice operations, strategic initiatives, financial performance, and physician support.
Front Office Operations
- Oversee daily operations of all reception areas
- Ensure appropriate staffing levels and coverage
- Participate in daily front office administration duties, including intermittent hands-on front desk administrative work
- Ensure consistent work-flow for registration, check-in, check-out, and results follow-up.
- Manage staff at both office locations
- Travel between the two offices (15 minutes apart), as needed
- Monitor patient flow and wait times
- Resolve scheduling conflicts and front office issues
- Ensure consistent implementation of office procedures
- Maintain high standards of customer service
Staff Leadership
- Directly supervise all front desk and administrative staff
- Conduct onboarding and training for new employees
- Provide coaching and performance feedback
- Complete annual performance evaluations
- Monitor attendance and punctuality
- Address performance concerns promptly
- Approve routine PTO requests according to practice guidelines
- Coordinate daily staff assignments
- Attend the monthly after hours meeting with Practice Administrator and physicians
Patient Experience
- Handle escalated patient concerns and complaints
- Resolve service recovery issues
- Promote a welcoming, professional environment
- Monitor patient satisfaction trends
- Identify opportunities to improve service
Administrative Oversight
- Ensure accurate patient registration
- Monitor insurance verification processes
- Ensure completion of required documentation
- Oversee scanning and electronic records workflow
- Maintain front office supplies
Policy & Compliance
- Ensure adherence to HIPAA and privacy standards
- Reinforce practice policies
- Assist with implementation of workflow changes
- Communicate operational updates to staff
- Participate in quality improvement initiatives
Communication
- Serve as liaison between physicians, clinical staff, and front office
- Communicate operational concerns to the Practice Administrator
- Lead regular front office team meetings
- Foster teamwork between office locations
Qualifications
- Minimum 3β5 years of medical office experience
- Previous supervisory or team lead experience preferred
- Strong understanding of medical scheduling and registration
- Excellent communication and interpersonal skills
- Strong organizational and problem-solving abilities
- Ability to prioritize in a fast-paced environment
- Proficiency with electronic medical records (Athenahealth and Epic a plus)
- Professional demeanor with patients and staff
Pay: $28.00 - $32.00 per hour
