Job Summary
We are seeking a dedicated and highly organized Surgical Coordinator to join our Neurosurgery Scheduling Department. The ideal candidate will possess a strong background in medical administrative support, with expertise in surgical scheduling, patient coordination, and healthcare documentation. As a Surgical Coordinator, you will play a vital role in ensuring efficient operation of the neurosurgery department by managing patient appointments, coordinating surgical procedures, and maintaining accurate medical records. Duties
- Schedule and coordinate neurosurgical procedures, ensuring optimal utilization of operating rooms and resources.
- Communicate effectively with patients, physicians, and staff to confirm appointments, provide pre-operative instructions, and address inquiries promptly.
- Review and verify medical documentation, including referral information, prior authorizations, and insurance details to facilitate smooth scheduling.
- Maintain comprehensive records within Electronic Health Record (EHR) systems such as Epic, Meditech, or eClinicalWorks, ensuring accuracy and confidentiality in compliance with HIPAA regulations.
- Assist with insurance verification processes, including Medicare and other third-party payers, to confirm coverage and facilitate billing procedures.
- Collaborate with the clinical team to develop care plans and ensure all necessary documentation is complete prior to surgery.
- Utilize medical coding knowledge such as CPT (Current Procedural Terminology), ICD-10/ICD-9 codes for accurate documentation review and billing purposes.
- Manage incoming calls using multi-line phone systems while demonstrating excellent phone etiquette and customer service skills.
- Support administrative tasks such as filing medical records, updating patient information in EMR systems like Athenahealth or Eaglesoft, and managing office supplies.
- Ensure compliance with all healthcare regulations including HIPAA standards while handling sensitive patient information.
- Provide bilingual support when necessary to assist diverse patient populations effectively.
Requirements
- Proven experience in medical scheduling within a clinical or hospital setting, preferably in neurosurgery or specialty clinics.
- Strong knowledge of EMR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; experience with Eaglesoft or Dentrix is a plus.
- Familiarity with medical billing processes including insurance verification, Medicare claims, CPT coding, ICD coding (ICD-10/ICD-9), and documentation review.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel) and basic computer skills for data entry and record management.
- Knowledge of medical terminology relevant to neurosurgery procedures and care plans.
- Previous clinic or hospital experience with familiarity in health information management is highly desirable.
- Strong communication skills coupled with professional phone etiquette; bilingual abilities are advantageous for serving diverse patient populations.
- Attention to detail in documentation review and medical administrative support tasks; experience with office management is beneficial.
