About Bond Plumbing Supply

Bond Plumbing Supply, Inc. is a multi-generation, veteran-led plumbing wholesale distributor serving contractors, builders, municipalities, commercial projects, and other professional customers throughout Florida and international markets.

Founded in 1946, Bond Plumbing Supply has grown into a multi-branch operation with locations throughout South and Central Florida. We are looking for an experienced, organized, and accountable Accounts Payable Specialist to oversee the company's accounts payable operations from our corporate office in Miami.

Position Summary

The Accounts Payable Specialist will be responsible for overseeing the complete accounts payable process for Bond Plumbing Supply, including vendor invoices, purchase order matching, receiving discrepancies, credits, payments, vendor statements, and account reconciliations.

This is a hands-on management position. The successful candidate must be comfortable working in a high-volume wholesale distribution environment involving multiple branches, large numbers of vendors, inventory purchases, freight, transfers, credits, and electronic purchasing transactions.

Experience with Eclipse ERP is highly preferred.

The Accounts Payable Specialist will work closely with Purchasing, Receiving, Branch Managers, Accounting, Management, and vendors to ensure invoices and payments are processed accurately and on time.

Key Responsibilities

  • Manage and oversee all day-to-day Accounts Payable operations.
  • Review, verify, code, and process vendor invoices accurately and efficiently.
  • Match vendor invoices against purchase orders and receiving records.
  • Research and resolve discrepancies involving pricing, quantities, freight, receiving, taxes, credits, and purchase orders.
  • Ensure invoices are charged to the correct vendor, branch, department, and general ledger account.
  • Manage high-volume vendor accounts across multiple Bond Plumbing Supply locations.
  • Review vendor statements and reconcile accounts regularly.
  • Identify missing invoices, duplicate invoices, unapplied credits, outstanding credits, and other discrepancies.
  • Ensure vendor credits and credit memos are properly received and applied.
  • Prepare and manage vendor payment schedules.
  • Review invoices for payment according to vendor terms and company cash-management priorities.
  • Take advantage of vendor discounts and payment terms when appropriate.
  • Maintain accurate vendor records and supporting documentation.
  • Respond to vendor inquiries regarding invoices, credits, payments, and account balances.
  • Work directly with Purchasing and Receiving personnel to resolve PO and receiving discrepancies.
  • Communicate with Branch Managers regarding branch-level invoice and receiving issues.
  • Monitor aged invoices and unresolved AP issues and ensure timely follow-up.
  • Maintain proper documentation and approval procedures for payments.
  • Assist with month-end and year-end accounting close processes related to Accounts Payable.
  • Provide AP reports and information to company management as requested.
  • Help develop and enforce Accounts Payable procedures and internal controls.
  • Identify opportunities to improve AP efficiency, accuracy, and automation.
  • Train, supervise, and hold Accounts Payable personnel accountable for accuracy, productivity, and timely completion of work.
  • Maintain organized electronic and physical AP documentation as required.
  • Assist with vendor audits and accounting requests.
  • Protect confidential company, employee, banking, and vendor information.

Eclipse ERP Responsibilities

The Accounts Payable Specialist will be expected to become highly proficient in Bond Plumbing Supply's Eclipse ERP system and use the system to manage and research Accounts Payable transactions.

Responsibilities may include:

  • Invoice entry and review
  • Purchase order research
  • Receiving verification
  • Vendor account research
  • Credit memo processing
  • Payment processing
  • Vendor history review
  • Branch and location research
  • Inventory-related invoice discrepancies
  • Reporting and account reconciliation

Previous Eclipse ERP experience is strongly preferred.

Candidates with extensive experience using another distribution-focused ERP system may also be considered.

Qualifications

  • Minimum 5 years of Accounts Payable experience preferred.
  • Previous experience managing or supervising an Accounts Payable department or team strongly preferred.
  • Experience in wholesale distribution, plumbing supply, HVAC, electrical, industrial supply, building materials, construction supply, or a similar industry is highly desirable.
  • Experience processing high volumes of vendor invoices.
  • Strong understanding of purchase orders, receiving documents, invoice matching, credits, and vendor statements.
  • Experience working with multiple branches or locations preferred.
  • Strong understanding of basic accounting principles and general ledger coding.
  • Excellent reconciliation and problem-solving abilities.
  • Strong attention to detail.
  • Ability to identify discrepancies and follow them through to resolution.
  • Strong organizational and time-management skills.
  • Ability to prioritize a large workload and meet deadlines.
  • Strong written and verbal communication skills.
  • Comfortable communicating directly with vendors, employees, managers, and senior management.
  • Proficiency with Microsoft Excel, Outlook, and general office software.
  • Eclipse ERP experience strongly preferred.
  • EDI purchasing or electronic vendor transaction experience is a plus.

The right candidate should be:
