Service Writer – Bobcat of Gillette
Location: Gillette, WY In‑Person Only
Job Type: Full‑Time
Bobcat of Gillette is seeking a highly organized, customer‑focused Service Writer to support our Bobcat equipment service department. This role also provides backup support to Parts and assists with Lease & Rental coordination, making it ideal for someone who thrives in a fast‑paced, multi‑department environment.
We service compact equipment, attachments, and Bobcat machinery for contractors, ranchers, municipalities, and private owners throughout Northeast Wyoming.
What You’ll Do
Service Department (Primary Role)
- Open and close work orders with accuracy and attention to detail
- Prepare and present service estimates before work begins
- Communicate with customers for approvals, updates, and scheduling
- Answer incoming calls related to service and shop scheduling
- Review work orders, warranty submissions, and technician hours
- Track job progress and ensure proper accounting closure
- Coordinate with the shop manager to confirm job completion
- Maintain safety training schedules and inspection records
- Organize and maintain all service‑related paperwork
- Assign work orders and help manage technician workflow
Parts Department (Support Role)
- Assist with parts lookups and customer inquiries when needed
- Help process parts orders, returns, and core exchanges
- Support the parts counter during peak times or staff absences
Lease & Rental (Support Role)
- Assist with rental agreements, machine check‑in/check‑out, and documentation
- Help coordinate rental scheduling and availability
- Ensure accurate billing and communication with customers
Required Education & Experience
- High School Diploma or GED
- Minimum 2 years of service writing/advisor experience in diesel, truck, heavy equipment, or similar (required)
- Strong organizational and communication skills
- Basic proficiency in Microsoft Word and Outlook
- Ability to multitask, prioritize, and stay organized in a fast‑paced environment
- Warranty knowledge and safety awareness preferred
Physical Demands & Competencies
- Standing, walking, sitting, talking, hearing, and use of hands
- Primarily sedentary work; occasional lifting up to 25 lbs
- Strong data entry, phone, reading/writing, reasoning, and math skills
- Ability to direct the work of others
- Ability to work efficiently under pressure
