POSITION SUMMARY: The Administrative Assistant over sees and is responsible for general office and administrative tasks such as organizing and disseminating company and staff communications, paperwork filing and organization (digital and hard copy), office supply inventory and ordering, company programs and events, employee housing administration, and researching various inquiries and projects.

ESSENTIAL DUTIES AND RESPONSIBILITES:

· Office and administrative organization and maintenance, including personnel files, company documents, on-boarding materials, and office supplies.

· Coordinate, book, and confirm calendar meetings. conference calls, and appointments, including internal and external meetings utilizing Microsoft Outlook and Teams.

· Administer, disseminate, and follow-up on all staff announcements and communications.

· Administer and manage all Employee Appreciation programs, including ordering gift-cards, birthday cakes, and appreciation plaques.

· Assist HR Manager and HR Assistant with calling and setting up phone screens and interviews with potential job candidates, create calendar items for meetings, and confirm appointments.

· Manage and maintain employment websites such as , Craigslist, and Facebook, including posting, reviewing, and reaching out to potential job candidates.

· Track and maintain on-boarding processes for all stores, following up on outstanding items and updating forms and documents when necessary.

· Enter and maintain employee data, create reports, run regular monthly reports, and perform regular audits in IBS HRMS.

· Research information or projects when requested and create reports or compile data into clear, summarized presentations.

· Interact professionally and courteously with all individuals, customers, and business partners, both internally and outside of the organization.

· Respond to requests for data, information, files, and tasks as asked in a timely manner.

· Verify and/or update varying types of data by comparing it to source documents.

· Create Excel spreadsheets with varying types of data and formulas to manipulate large numbers and crucial data without errors.

· Convert and/or transfer data in paper formats into electronic files and/or databases utilizing keyboards, data recorders, or optical scanners.

· Coordinate and book travel arrangements, including flights, rental cars, hotels, meeting rooms, and events; keep track of and send all itineraries and/or changes to all parties.

· Coordinate and track all TGC appointments and background checks; confirm drug screens and applications are completed before scheduled appointments.

· Accompany new hire candidates to initial badging appointment with TGC; escort candidate's return to casino for on-boarding.

· Assist HR with data gathering each payroll cycle.

· Assist with quarterly safety training process, including preparing and printing materials, posting sign-up sheets, and purchasing food items for day of training.

· Inventory and order all office supplies.

· Answer phones, send faxes, and communicate with staff, business partners, and external organizations.

· Function as liaison between Company and Moorland & Witter property residents; monitor room occupancy, housekeeping, tenant repair requests, rent collection, manage rental agreements, and other duties pertaining to the property.

· Thoroughly understand and abide by all Company policies, procedures, standards, specifications, guidelines, and training programs.

· Fully understand and comply with all federal, state, county, and municipal regulations that pertain to health, safety, and labor requirements of the restaurant, employees, and guests.

· Required to attend all mandatory meetings and training when scheduled.

MINIMUM QUALIFICATIONS AND SKILLS:

Must have or possess:

· At least 2 years of office, administrative, executive assistance, secretarial, or clerical experience.

· High school diploma or equivalent, college degree preferable; a combination of practical experience and education will be considered as an alternative.

· High proficiency in Microsoft Office, including Word, Excel, Outlook, and Teams.

· Excellent listening and clear written and verbal communication skills (English).

· Basic math skills.

· Extremely strong organizational skills and attention to detail.

· Ability to establish and meet schedules and deadlines utilizing excellent time management skills.

· Must be able to work independently, as well as collaboratively, and be self-motivated.

· Must use sound discretion when handling sensitive and/or confidential information and files.

· Proven ability to problem-solve and strategize.

· Working knowledge of general office equipment including copier, fax, and phone system.

· Must be comfortable with shifting priorities and deadlines.

· Must maintain exemplary attendance record.

· Interest and experience in the restaurant and/or hospitality industry a plus.

PHYSICAL REQUIREMENTS:

· Must be able to sit for extended periods of time, up to 8 hours.

· Must be able to use vision to read computer screen and paper documents.

· Must be able to occasionally move, lift, carry, push, pull, and place objects equal to or up to 25 pounds without assistance.

OTHER REQUIREMENTS:

· Must be at least 18 years of age.

· Proof of eligibility to work in the US.

· Must be able to pass casino background check.
