Job Summary:
We are seeking a highly organized and detail-oriented Recruiting Coordinator to support the hiring and onboarding process for a leading financial services organization. This role will be central in managing interview logistics, ensuring a smooth candidate experience, and supporting critical onboarding functions such as background checks and offer letters.
The ideal candidate thrives in a fast-paced environment, demonstrates strong communication skills, and can balance multiple priorities with accuracy and professionalism. This position is 4 days onsite in our Pittsburgh, PA office.
Key Responsibilities:
• Interview Coordination: Manage interview schedules across multiple stakeholders, ensuring timely communication and a seamless candidate experience from start to finish.
• Offer Management: Draft and distribute offer letters in partnership with recruiters and hiring managers, ensuring accuracy and compliance with organizational standards.
• Onboarding Administration: Oversee onboarding processes including background checks, system triggers, and tracking milestone completion to ensure candidates are prepared for Day 1.
• Candidate Experience: Take accountability for providing a positive candidate journey by responding promptly, closing actions with urgency, and maintaining professionalism in all communications.
• Recruiting Operations Support: Partner with recruiters, HR, and hiring managers on administrative tasks, data entry, and process tracking; contribute to continuous improvement of recruiting workflows.
• Other Duties: Support additional recruitment or administrative tasks as assigned, adapting quickly to evolving team needs.
Qualifications:
• Bachelor’s Degree or equivalent professional experience
• 2 years of experience as a recruiting coordinator, HR coordinator, or related role (internship experience may be considered)
• Strong organizational and time management skills, with the ability to manage competing priorities in a deadline-driven environment
• Excellent written and verbal communication skills, with proven professionalism in candidate and stakeholder interactions
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Preferred Experience:
• Experience working within applicant tracking systems (ATS) or HRIS platforms
• Prior exposure to large-scale corporate recruiting processes and workflows
• Background in supporting high-volume recruitment environments
