Job Summary:
The Executive Assistant role provides high-level administrative support to a senior executive within BNY’s Global Markets organization. This position supports a highly visible and fast-paced executive environment, requiring exceptional organizational skills, complex calendar management, executive communications, travel coordination, and acting as a trusted partner.
The position is onsite 4 days per week (preferred 5 days) and based at BNY’s headquarters at 240 Greenwich Street, New York, NY.

Key Responsibilities:
- Executive Administrative Support: Provide comprehensive administrative support to a senior executive, managing day-to-day priorities with autonomy, discretion, and attention to detail.
- Calendar & Time Management: Maintain a highly detailed and dynamic calendar, proactively prioritizing meetings, resolving conflicts, and ensuring the executive’s time is protected and used effectively.
- Executive Communication & Liaison: Serve as a primary point of contact between the executive, internal stakeholders, and external partners, facilitating clear, professional, and timely communication.
- Gatekeeping & Prioritization: Screen incoming communications, calls, and requests, exercising judgment on urgency and importance while representing the executive with professionalism.
- Travel & Logistics Coordination: Arrange complex domestic and international travel itineraries, including flights, accommodations, and ground transportation, ensuring efficiency and cost effectiveness.
- Meeting & Event Coordination: Coordinate meetings, town halls, conferences, and virtual events using platforms such as MS Teams and WebEx, ensuring seamless execution and preparation.
- Expense & Administrative Processing: Manage expense reporting, billing, and office supply procurement with accuracy and timeliness.
- Cross-Team Collaboration: Partner closely with other executive assistants and global teams, providing backup support to senior leaders as needed, including the Global Head of Markets.
- Executive Readiness: Anticipate needs by ensuring executives are fully prepared for meetings, chasing down materials, aligning stakeholders, and managing follow-ups.
- Proven experience supporting senior executives in a fast-paced, high-demand environment
- Exceptional organizational skills with the ability to multitask and prioritize effectively
- Strong written and verbal communication skills with a polished and professional demeanor
- Proficiency in Microsoft Office Suite, calendar management tools, and virtual meeting platforms
- Ability to adapt quickly, take initiative, and manage evolving priorities
- Experience managing executives with demanding schedules and frequent travel
- Prior experience supporting C-suite or senior leadership within a global organization
- Background in financial services or a regulated corporate environment
- Experience working in high-volume, time-sensitive administrative environments
- Bachelor’s degree (or equivalent administrative experience)
