About the Role:

The Service Expediter/Admin Assistant plays a critical role in ensuring the smooth and efficient operation of service departments by coordinating workflow and providing comprehensive administrative support. This position serves as a vital communication link between customers, service technicians, and management to facilitate timely service delivery and enhance customer satisfaction. The role requires managing service schedules, tracking parts and inventory, and maintaining accurate records to support operational efficiency. Additionally, the Service Expediter/Admin Assistant is responsible for handling customer inquiries, processing service orders, and assisting with billing and documentation. Ultimately, this position contributes to the overall success of the service department by streamlining processes and supporting a high level of customer service.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proven experience in an administrative or customer service role, preferably within a service or repair environment.
  • Proficiency with office software such as Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Experience with service management or scheduling software.
  • Familiarity with inventory management and billing processes.
  • Customer service certification or training.
  • Ability to work in a fast-paced environment and adapt to changing priorities.

Responsibilities:

  • Coordinate daily service appointments and manage technician schedules to optimize workflow and minimize downtime.
  • Serve as the primary point of contact for customers regarding service status, inquiries, and follow-ups.
  • Maintain accurate records of service orders, parts inventory, and customer information using company software systems.
  • Assist with administrative tasks such as invoicing, billing, and processing warranty claims to ensure timely and accurate financial transactions.
  • Collaborate with service technicians and management to identify and resolve any service delays or issues promptly.
