Job Overview:
The Workplace Experience Associate serves as the primary point of contact for employees and clients, delivering high-quality front-of-house, administrative, and workplace support to create a welcoming, efficient, and service-oriented environment.
REQUIREMENTS
Knowledge Required: Proficiency in Microsoft Office Suite, Teams, CRM platforms like Salesforce, and customer service principles.
Skills Required: Strong keyboarding, communication, interpersonal, social, organizational, and problem-solving skills. Must demonstrate excellent listening abilities and consistently provide top-notch customer service.
Abilities Required: Ability to follow instructions, collaborate effectively as a team player, manage stress, meet tight deadlines, and maintain an upbeat attitude. Critical thinking skills are essential. Must be able to lift up to 15 pounds.
Key Responsibilities:
Client & Guest Experience
- Act as the first point of engagement, delivering a warm and professional experience.
- Manage guest registration, visitor passes, calls, and general inquiries.
- Coordinate meeting rooms, catering, tech setup, and logistics for client visits.
- Support client-facing teams, gather feedback, and maintain client-ready spaces.
- Assist with planning events, workshops, networking sessions, and team activities.
- Provide concierge-style services including travel support, reservations, shipping, and hospitality arrangements.
Office Management & Administrative Support
- Oversee daily office operations and act as the main contact for staff, executives, and partners.
- Manage calendars, meetings, travel, expenses, and internal communication.
- Maintain files, documents, mail, packages, and vendor coordination.
- Track invoices, budgets, and financial logs per company procedures.
- Ensure all office, reception, conference, and common areas remain clean, stocked, and operational.
- Handle supply ordering, equipment checks, maintenance requests, and kitchen upkeep.
- Support companywide meetings and perform additional duties as needed.
