The compensation range for this position is $28.00/hr - $33.00/hr
Job Duties
- Calendar Management: Efficiently manage executive calendars, including scheduling meetings, appointments, and conference calls, while prioritizing conflicting schedules and ensuring timely reminders.
- Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, and transportation, ensuring cost-effectiveness and meeting the needs of the executives.
- Communication: Serve as the primary point of contact for internal and external stakeholders, including screening and directing phone calls, emails, and other correspondence to appropriate parties.
- Meeting Support: Prepare meeting agendas, materials, and presentations, and coordinate logistics for executive meetings, including room setup, catering, and technology requirements.
- Document Management: Maintain and organize electronic and physical files, documents, and records, ensuring accuracy, confidentiality, and easy retrieval.
- Administrative Support: Assist with administrative tasks, such as drafting correspondence, managing expenses, processing invoices, and completing other ad-hoc projects as assigned by the executives.
- Information Management: Conduct research, gather data, and compile reports as needed to support decision-making and strategic planning initiatives.
- Relationship Management: Build and maintain strong working relationships with internal teams, external partners, vendors, and other stakeholders to facilitate effective communication and collaboration.
- Confidentiality: Handle sensitive and confidential information with discretion and professionalism, adhering to privacy regulations and organizational policies.
- Problem Solving: Proactively identify challenges and inefficiencies in administrative processes and propose solutions to streamline operations and improve productivity.
- Other tasks as assigned
Requirements and Qualifications
- A minimum of a high school diploma
- 3 years’ experience supporting C-Suite
- Highly professional, polished, and discreet
- Tech-savvy (comfortable with tools like Zoom, Teams, Outlook, etc.)
- Exceptional organizational and time management skills
- Able to confidently represent the CEO at internal and external events
- Strong communication skills, both written and verbal
- Experienced in managing complex calendars
- Proficient in booking national travel and handling logistics end-to-end
- Understands the pace and priorities of a mission-driven, growing health organization
- Flexible, dependable, and able to work in-person when needed
- Travel as needed
