The Clinical Administrative Assistant provides essential support to the Vice President of Clinical Operations and Clinical Managers by managing administrative tasks within a clinical setting. This role requires strong organizational skills, attention to detail, and the ability to handle confidential information with discretion while contributing to the efficient operation of the organization.

Position Summary
The Clinical Administrative Assistant provides essential support to the Vice President of Clinical Operations and Clinical Managers by managing administrative tasks within a clinical setting. This role requires strong organizational skills, attention to detail, and the ability to handle confidential information with discretion while contributing to the efficient operation of the organization.
Essential Duties & Responsibilities
- Handle incoming phone calls related to medical supplies, durable medical equipment (DME), and non‑clinical questions; coordinate with clinical staff, business office, and external partners to resolve issues in a timely and professional manner.
- Communicate effectively with patients, families, and caregivers.
- Collaborate with Clinical Managers regarding CNA caseloads and coordinate scheduling coverage as needed.
- Coordinate discharge preparation and Interdisciplinary Team (IDT) meeting preparation.
- Provide statistical, financial, and other data reports as needed.
- Assist with organizing and scheduling meetings and conference calls for the VP of Clinical Operations and clinical staff.
- Prepare agendas and take minutes for clinical meetings as requested.
- Assist with ordering supplies and durable medical equipment for clinical departments.
- Support electronic medical record (EMR) updates, including adding physicians, facilities, vendors, funeral homes, and other entities.
- Assist with the development of PowerPoint presentations tailored to target audiences.
- Support special events and projects as needed.
- Collaborate with administrative support staff and provide backup coverage when needed.
- Communicate Clinical Manager availability and coverage updates to administrative and clinical teams.
- Maintain professional and courteous relationships with all callers and stakeholders.
- Promote teamwork through effective interpersonal communication.
- Respect patient, caregiver, and staff confidentiality at all times.
- Demonstrate sensitivity to the emotional demands of working with hospice patients and families.
- Seek ongoing professional development and respond constructively to feedback.
- Perform other duties as assigned.
- High school diploma or GED required; college education preferred.
- Strong proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook, Teams).
- Minimum of 2 years of administrative support experience in a professional environment.
- Minimum of 2 years of healthcare or medical office experience required.
- Demonstrated ability to prioritize and manage multiple tasks.
- Positive attitude with strong teamwork orientation.
- Ability to interact effectively with individuals at all levels and diverse backgrounds.
- Proven ability to handle confidential information with professionalism and integrity.
