A medical office manager is responsible for the non-clinical aspects of the day-to-day operations in a medical office environment within the surgical center healthcare facility.
- Manage front desk operations, including physician block time, patient scheduling, registration, insurance verification, financial counseling, and medical records management.
- Oversee collections processes, data entry, and cash posting, ensuring compliance with Medicare, Medicaid, and commercial payer policies.
- Coordinate day-to-day administrative operations to ensure efficient, patient-centered service delivery.
- Develop, implement, and enforce office policies and procedures to support regulatory compliance and operational effectiveness.
- Promote a culture of excellent customer service across all staff, addressing patient concerns and resolving service issues promptly.
- Hire, train, manage, and evaluate front office and administrative personnel; conduct regular performance reviews and staff development initiatives.
- Maintain organized filing systems (physical and electronic) in compliance with HIPAA and Michigan medical record retention requirements.
- Ensure compliance with all applicable regulations, including HIPAA, OSHA, Michigan labor laws, and standards from accrediting bodies such as AAAHC or The Joint Commission, as applicable.
- Manage inventory of office and clinical supplies, coordinating with vendors to maintain appropriate stock levels.
- Schedule and facilitate regular staff meetings, ensuring communication of updates, policy changes, and performance feedback.
- Coordinate logistics for internal meetings, clinical team huddles, and external events or audits.
- Maintain optimal front desk coverage, adjusting schedules as needed to meet daily patient volume and operational demands.
- Support recruitment and onboarding of clinical and administrative staff, in collaboration with leadership and human resources.
- Participate in quality improvement initiatives and assist with special projects, audits, or regulatory surveys.
- Serve as a liaison between administrative staff, clinical teams, and patients, ensuring a seamless front-office experience.
- Perform other duties as assigned to support the facility’s mission and strategic goals.
