General Job Description:
Perform a variety of duties requiring secretarial skills and the ability to exercise independent judgment within defined policy and relieve counselors of routine details.
Work Schedule:
Contract Days: 210 (BHS)
Contract Hours: 8 hours/day
Qualifications:
High school diploma or equivalent. Prior experience in approved related fields, formal technical or business school training. Valid drivers license, experience with a PC, spreadsheet knowledge a must. Must have a working knowledge of filing systems and general office management
Physical Requirements:
Sitting, standing, lifting, and carrying (up to 50 lbs.), reaching, squatting, kneeling.
Performance Responsibilities:
Clerical:
Type correspondence, memoranda, reports, bulletins, forms, and other documents from copy to rough draft; takes and maintains inventories as required by the administration; receipts all monies received and turns them in to the administration; prepares purchase orders for all guidance purchases; assumes responsibility for all guidance supplies; assists with compiling data for follow-up and other required reports.
Student Accounting Procedures:
Assists in the registration of new and re-enrolling students; maintains records of students by grade, ethnicity, and gender. Supplies enrollment forms, supplies copies of all additions and changes to the principal’s office; provides a back-up locating service when the principal’s office are unable to locate a student.
Student Records:
Secures transcripts and prepares a file for each new student; maintains file on each student; supplies enrollment information as needed. Coordinates guidance files with nursing and special education files. Responsible for student / school requests to the designated places and maintains drop files.
Receptionist / Supervisory:
Greets students, parents, teachers, and other visitors to the guidance office; personally assists or channels to the proper counselor; secures students for counselors and coordinates flow of counselees to maximize efficient use of the counselors time; routes in-coming telephone calls and supervises students in the outer office. Is responsible for supervision when counselors are in conferences or out of the office; maintains a pleasant physical setting in the guidance areas.
