Overview
Bloom Fine Gardening Inc. is a growing landscape design, installation, and fine gardening company serving the Hudson Valley. We specialize in high-quality landscape installations, garden maintenance, and are expanding into waterscapes & fiberglass pool installations and outdoor living projects.
We are looking for a highly organized Administrative Assistant / project Coordinator to help support daily operations, improve scheduling and communication, and keep our office systems running smoothly as our company continues to grow.
Duties
Customer Communication
- Answer incoming calls and emails
- Respond to customer inquiries
- Schedule estimates and site visits
- Follow up with potential and existing clients
Scheduling & Coordination
- Manage calendar for estimates and projects
- Coordinate crew schedules with the owner
- Assist with scheduling deliveries and subcontractors
- Help track project timelines
Office Administration
- Prepare and send proposals and contracts
- Assist with invoicing and payment tracking
- Maintain customer records and project files
- Assist with permits and documentation when needed
Business Support
- Organize digital files and office systems
- Assist with email marketing and client communications
- Help manage online reviews and customer follow-ups
- Support general office operations
Qualifications
- Strong organizational skills
- Excellent communication and customer service skills
- Comfortable using computers and office software
- Ability to multitask and manage multiple projects
- Reliable and detail oriented
Helpful but not required:
- Experience in landscaping, construction, or home services
- Familiarity with scheduling or CRM software
- QuickBooks or invoicing experience
