Mission-driven edtech startup revolutionizing higher education is looking for an Executive Assistant to support their Co-Founder/CEO and Co-Founder/COO. This is an exciting opportunity to join a close-knit and collaborative team of 55 who are passionate about bringing high-demand, career-focused programs to schools and students. As the first Executive Assistant, you'll provide support to the CEO and COO to ensure priorities are aligned and time is leveraged through calendar management, inbox support, travel planning, and meeting coordination. You will also oversee office operations, organize team off-sites, and help with coordination for the team. Someone with experience supporting senior leadership and/or Founders who thrives in a dynamic environment, and has a strong team player mindset. This is a hybrid role, 3-4 days/week, based in their Flatiron District office in New York. 120-150K DOE equity, excellent benefits including for dependents, and flexible PTO.
Responsibilities:
- Provide high-level executive support to the CEO and COO.
- Proactively manage the Executives' calendars, schedule meetings, and act as a gatekeeper to protect their time and priorities.
- Coordinate and book travel arrangements. Providing detailed information on logistics for conferences, client meetings, and other travel documentation.
- Assist with on-site meeting preparations, such as scheduling, conference room setup, and coordination for team events.
- Organize company events, including off-sites, holiday gatherings, and team bonding activities across departments.
- Manage office operations, including stocking supplies, handling vendor relationships, and troubleshooting office issues.
- Support the sales team with travel arrangements and related logistics.
- Provide occasional personal assistance to the Executives, such as aligning personal and business schedules or booking personal travel when needed.
Qualifications:
- Previous experience as an Executive Assistant, ideally supporting Founders, C-suite, or senior leaders in a startup or fast-paced environment.
- Highly proactive, resourceful, and solutions-oriented, with the ability to move tasks forward independently.
- Strong communication skills - both verbal and written.
- Ability to create frameworks and educate executives on how to best leverage support.
- Team player mindset with a willingness to help where needed.
- Adaptable to shifting priorities in a small, dynamic company environment.
- Able to work quickly and efficiently while maintaining attention to detail.
- Proficient in tools such as Ramp (expenses), Notion, Slack, GSuite, Asana, and ideally familiar with Rippling or similar HR platforms.
Salary : $120,000 - $150,000
