Blackberg is seeking a highly organized and professional Administrative Assistant to deliver day-to-day administrative and program support to a federal communications office. This role supports routine office operations, scheduling, correspondence, reporting, and stakeholder coordination in a fast-paced government environment.
This position is not an executive secretary or senior administrative role. It focuses on core administrative support, coordination, and operational assistance to ensure smooth daily functioning of the federal office.
This position is integral to maintaining the efficiency of our organization’s operations while providing vital support to our leadership team. The position will be primarily onsite in Alexandria, VA with the potential for hybrid with client approval.
Key Responsibilities
- Manage daily administrative affairs and provide consistent front-office support
- Maintain calendars, schedule meetings, and deconflict appointments as needed
- Prepare meeting agendas, presentation materials, meeting requests, and meeting minutes
- Draft routine email responses and general correspondence on behalf of staff
- Answer and screen incoming calls and route inquiries to appropriate staff
- Accurately enter and maintain data in tracking systems and databases
- Compile and organize reports, including recurring daily, weekly, and monthly summaries
- Assist with tracking and reporting basic metrics related to communications, web, and social media activities
- Maintain stakeholder contact lists, email distribution lists, templates, and shared resources
- Ensure effective document management and file organization
- Assist with administrative processing for travel, training, and reimbursements
- Coordinate interviews, meetings, panels, and stakeholder engagements
- Communicate professionally with internal staff, contractors, and external partners
- Support routine operational needs while exercising discretion, diplomacy, and tact
Required Qualifications
- 5 years of experience in an administrative assistant or similar office support role in the public sector
- Strong proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Working knowledge of office management systems and administrative procedures
- Excellent written and verbal communication skills
- Strong attention to detail and ability to manage multiple priorities
- Ability to format basic to intermediate reports, presentations, and spreadsheets
- Proven ability to communicate professionally in a federal or similarly structured environment
- Ability to obtain and maintain a Public Trust clearance
- Strong computer literacy with the ability to adapt to new software or tools quickly.
Preferred Qualifications
- Experience supporting federal communications office
- Experience coordinating meetings and managing calendars for multiple staff
- Familiarity with document tracking systems or shared drives (e.g., SharePoint)
- Experience compiling metrics or routine status reports
Pay: $26.00 - $48.00 per hour
