Residency Program Coordinator

The Residency Program Coordinator position specializing in ACGME requirements is a key role at our institution. This position involves overseeing and coordinating all aspects of residency programs to ensure compliance with ACGME standards. Responsibilities include managing program logistics, coordinating recruitment activities, maintaining accreditation documentation, and facilitating communication between residents, faculty, and accrediting bodies. The ideal candidate will have a deep understanding of ACGME guidelines, excellent organizational and interpersonal skills, and the ability to navigate complex residency program requirements.

Role Purpose

Residency Program Coordinator is responsible for assisting in the administration of the residency program as outlined in the Accreditation Council of Graduate Medical Education (ACGME) Program requirements. Serves as liaison and regulatory expert with internal and external stakeholders interfacing with program director, medical students, program applicants, alumni, current house staff, faculty, and administration while participating in various committees and subcommittees as necessary. Responsible for developing, overseeing, and improving residency program. Implementing change based on current accreditation and regulatory requirements and preparing for site visits and review. Manages and administers the day-to-day activities of the Internal Medicine residency programs utilizing independent judgment and discretion to maintain compliance. Organizes and maintains residency databases and completes reports to comply with federal and state guidelines and regulations. Responds to all residency program inquiries and utilizes independent judgment and decision making in addressing issues.

Responsibilities

• Reviews ACGME “General and Special Requirements for Residency Training” and in collaboration with Program Director, regularly evaluates program to assess compliance. This includes preparing reports and compiling statistics for ACGME activity, including evaluations, duty hours, survey responses, case logs, and site visits.
• Responsible for daily operations including accreditation ensuring that licenses and regulatory standards are met and maintained. Serves a regulatory expert for the program.
• Manages Electronic Residency Application Services (ERAS). Recruitment of residents and fellows serving as an information source for the program, institution(s) and community. Coordinates resident applicant recruitment and interview process including Establishing and following recruitment plan, timeline, guidelines, and policies and procedures for the department. Manages ERAS software to produce residency applications, reports, and rank list. Effectively tallies resident applicant interview results and maintains appropriate files for post-match activities including participation in the resident ranking meeting.
• Coordinates resident match meetings, ACGME survey meetings and residency retreat programs, Program Evaluation Committee, Competency Committee and Internal Medicine faculty meetings.
• Effectively process, monitors and tracks residency documents including resident contracts and payroll (including time records and acting as liaison between resident and HR regarding payroll issues) for accuracy and compliance.
