Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems, handle incoming calls, and route messages efficiently
  • Maintain organized filing systems, including digital files via Google Workspace and Microsoft Office applications
  • Perform data entry tasks with accuracy, including updating records and processing invoices using QuickBooks or similar bookkeeping software
  • Support calendar management by scheduling appointments, meetings, and coordinating personal or professional commitments for staff
  • Assist with clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies
  • Provide excellent customer service by responding promptly to inquiries and supporting client needs both in person and over the phone

Requirements

  • Proven office management or administrative experience in a fast-paced environment
  • Strong computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly desirable to serve diverse clients and team members effectively
  • Experience with office equipment such as multi-line phone systems, fax machines, and printers
  • Knowledge of clerical procedures including filing, proofreading, data entry, and record keeping
  • Personal assistant or medical/dental receptionist experience is a plus but not required
  • Demonstrated customer service skills with professional phone etiquette and a friendly demeanor
