What You’ll Do
System Administration & Configuration
- Serve as the primary system administrator for UKG Pro / UKG Workforce Management (WFM), managing configuration, business rules, security roles, workflows, org structures, pay rules, and accrual policies.
- Accurately maintain and update employee records, reflecting changes in employment status, pay adjustments, promotions, leaves of absence, terminations, and address changes, across all relevant HR platforms (UKG, Guusto, OpenSesame, and others).
- Configure and maintain Workforce Management (WFM) modules including timekeeping, scheduling, and attendance tracking; partner with HR and Operations to optimize scheduling efficiency and labor rule compliance.
- Partner with Payroll to configure and test payroll processing rules, tax settings, deduction codes, and ensure accurate processing of garnishment orders and wage verifications.
- Manage user roles, security groups, and access provisioning in alignment with data governance and confidentiality policies.
- Lead and support UKG system upgrades, patches, and new module implementations from requirements gathering through go-live, including developing, testing, and implementing system enhancements and integrations.
- Collaborate with IT and third-party vendors to manage integrations between UKG and downstream systems (benefits carriers, ERP, ATS, OpenSesame, etc.) using APIs, SFTP file transfers, or middleware tools.
- Identify opportunities to improve HR and WFM processes through automation, self-service enhancements, and expanded system utilization.
- Stay current with UKG product roadmap, HR technology trends, and industry best practices; attend UKG user community events and recommend improvements proactively.
- Develop and maintain standard and custom reports, dashboards, and analytics using UKG BI or People Analytics to support HR, Finance, Legal, and Compliance teams.
- Generate recurring HR reports including turnover, PTO, headcount, OIG compliance checks, training completion, and recruitment metrics with appropriate follow-up.
- Perform regular audits of HRIS and WFM data to ensure accuracy and data integrity; identify, escalate, and resolve discrepancies in a timely manner.
- Support compliance reporting (EEO, ACA, SOC, URAC, etc.) and other regulatory requirements; ensure data practices comply with FLSA, HIPAA, GDPR, and applicable employment laws.
- Provide support for UKG-related inquiries from HR, Payroll, and managers; troubleshoot and resolve system issues promptly and thoroughly.
- Develop user guides, training materials, and SOPs; deliver training sessions for HR, manager, and employee end users to ensure smooth system adoption and operation.
- Maintain electronic employee files in compliance with accrediting bodies (URAC, ACHC, NABP) and company documentation standards; document processes, procedures, and system changes to maintain an accurate knowledge base.
- May assist with benefits administration including billing audits to ensure proper deductions, employee enrollments and terminations, leaves of absence, and issue resolution with benefits providers.
- Support accreditation and compliance activities including preparation for internal and external audits, OIG monthly reporting, and license verifications.
- Ensure all HR activities comply with federal, state, and local employment laws and regulations; treat all employee-related matters with professionalism and confidentiality.
- Promote a positive work environment and foster strong cross-functional relationships.

- Proven HRIS administration experience, with at least 3 years of hands-on UKG platform experience (UKG Pro & UKG Workforce Management).
- Proven expertise configuring UKG modules including Core HR, Payroll, Time & Attendance, Benefits, Talent, or Absence Management.
- Strong understanding of core HR processes (payroll, benefits, performance management, recruiting, compliance) and their system interdependencies.
- Experience with UKG reporting tools (Business Intelligence, People Analytics, or equivalent); advanced Excel skills and familiarity with BI tools.
- Familiarity with system integrations using APIs, SFTP file transfers, or iPaaS tools.
- Strong judgment, discretion, and diplomacy when handling sensitive employee information.
- Proven ability to independently identify, research, and resolve issues with strong problem-solving and troubleshooting skills.
- High attention to detail and commitment to data accuracy.
- Excellent communication skills, including the ability to translate technical information for non-technical stakeholders and collaborate across all levels of the organization.
- Well-organized, self-directed, and able to manage multiple priorities and meet deadlines in a fast-paced environment.
- Ability to work collaboratively with cross-functional teams while maintaining a high degree of professionalism and confidentiality.
- Ability to work extended hours, weekends, or holidays in alignment with departmental and business needs as required.
- Bachelor’s degree in Human Resources, Information Systems, Business Administration, or a related field; proven industry experience will be considered in lieu of degree.
- Proficiency in Microsoft Office Suite and industry-related software programs.
- UKG certification(s) in one or more modules (UKG Pro, UKG Workforce Management).
- Experience supporting a full UKG implementation or major version upgrade.
- SHRM-CP (Society for Human Resource Management – Certified Professional) or PHR (Professional in Human Resources) certification.
- Exposure to UKG Document Manager, Compensation, or Recruiting modules.
- Familiarity with accreditation standards (URAC, ACHC, NABP) and associated compliance documentation practices.
- Home-based office environment, with minimal exposure to excessive noise or adverse environmental issues, and (occasional) local and/or overnight travel, including exposure to heat, cold, and inclement weather conditions. Transportation for travel typically will include automobile and plane.
- Ability to sit for prolonged periods of time.
