What are the responsibilities and job description for the Administrative Coordinator position at BioXtek LLC?
About BioXtek
BioXtek is a regenerative biologics company on the leading edge of placental tissue-derived products and exosome therapies. We operate in a fast-moving, science-driven environment where the details matter — and where the right administrative support can make or break our ability to execute. We are a small, focused team. Everyone here carries weight.
The Role
This is a hands-on administrative role supporting our operations and leadership team. You'll handle high-volume data entry with precision, manage documents and records, coordinate across departments, and keep the operational engine running smoothly. But this isn't just a heads-down data job — we need someone who sees the whole picture and flags what others miss.
What You'll Do
- Perform accurate, high-volume data entry across multiple systems and platforms
- Maintain organized records, files, and documentation — physical and digital
- Support the quality, operations, and leadership teams with administrative tasks
- Identify gaps, inconsistencies, or issues in data and processes — and bring them forward
- Manage incoming and outgoing correspondence and communications
- Coordinate scheduling, meetings, and logistics as needed
- Handle sensitive information with professionalism and discretion
- Adapt quickly as priorities shift — because in a growing company, they do
What We're Looking For
The non-negotiables:
- Speed and accuracy — you type fast, you catch errors, you don't sacrifice one for the other
- Detail orientation — nothing slips past you, and you take pride in that
- Big-picture thinking — you understand how your work connects to the larger operation
- Discretion — you will be trusted with sensitive information; we need someone who treats that seriously
- Proactive mindset — you don't wait to be told. You anticipate.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook at minimum)
- Excellent written and verbal communication skills
- 2 years of administrative or operations support experience preferred
Bonus points if you have:
- Experience in healthcare, biotech, or a regulated industry
- Familiarity with CRM or ERP systems
- A track record of thriving in a small, fast-paced company environment
What We Offer
- A front-row seat to the future of regenerative medicine
- A small team where your contributions are visible and valued
- Competitive compensation commensurate with experience
- A culture that rewards people who take initiative and own their work
