Position Summary:
We are seeking a full-time Administrative Assistant with strong customer service experience and a solid background in QuickBooks. The ideal candidate will be detail-oriented, self-driven, and highly organized, with the ability to manage multiple administrative and accounting tasks in a fast-paced environment.
Core Responsibilities
- Perform general administrative duties including filing, data entry, scheduling, and document management
- Handle phone calls, emails, and in-person inquiries with professionalism and excellent customer service
- Support daily accounting functions including entering bills, invoices, receipts, and payments in QuickBooks
- Assist with payroll processing, time tracking, and expense reporting
- Prepare and maintain records, reports, and other business documents as needed
- Coordinate with vendors, customers, and team members to ensure timely communication and task completion
- Support management with various office projects and operational needs
Required Skills & Qualifications
- Experience: Minimum of 2–3 years in an administrative or office support role
- Software Proficiency: Strong working knowledge of QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and general office technology
- Customer Service: Excellent communication and interpersonal skills with a friendly, professional demeanor
- Organization: Exceptional attention to detail, ability to prioritize, and maintain accurate records
- Self-Motivated: Able to work independently with minimal supervision and manage multiple priorities efficiently
- Problem-Solving: Resourceful, proactive, and able to anticipate needs or issues before they arise
- Team Player: Willing to collaborate and contribute to a positive office environment
Preferred Qualifications
- Prior experience in accounting support, bookkeeping, or similar administrative finance role
- Knowledge of accounts receivable, accounts payable, and payroll processes
- Experience in a construction, service, or small business office environment (a plus)
