Job Description
The Event Logistics Supervisor - Estate Venues is a first level leadership position. The purpose of this position is to provide Biltmore Estate with a skilled leader that is knowledgeable in event set up and can provide support through hands on leadership with the primary focus venues other than BHG such as Diana, Lioncrest/Deerpark, and Antler Hill Village etc. while providing support and coordinating with BHG Supervisor. The incumbent must ensure that a high quality of standards is met for each event. This position requires guest interaction on a day to day basis as a large majority of the work is in and around guest areas. The incumbent will also provide general support and assistance for the department, leadership, and company.
ESSENTIAL JOB DUTIES:
1. Responsible for the supervision of all direct reports of the Event Logistics EV team, including full time and part time staff, and contracted labor,
2. Responsible for scheduling of team, delegating, and assigning daily tasks. Includes hiring, performance management & evaluation, and coaching.
2. Oversee and assist with the install and strike of Diana, Cedrics, Lioncrest, AHB, IOBE and Deerpark venues and off site venues for occasions such as weddings, concerts, corporate events, etc.
3. Ensures proper execution of daily work tasks.
4. Assisting in adding and correcting inventory in the rental software.
5. Coordinating contract labor, vehicles, and inventory needs with BHG Supervisor
6. Ensuring safety procedures are followed at all times.
7. Coordinate needs with Safety and Equipment Operating Supervisor for events.
8. Creating weekly and monthly plans approved by Event Logistics Manager.
9. Tracking and maintaining inventory of disposable operating materials.
10. Completing time each week via Kronos, and transferring labor correctly.
ADDITIONAL RESPONSIBILITIES:
1. Assist with hiring process such as reviewing applications, setting up interviews and on the job training.
2. Assist with employee counseling, and terminations if needed.
4. Assist with scheduling reserve staff as needed.
5. Provide general support and assistance to the department, leadership, and company as required.
6. This position is responsible for interacting with outside contractors (including Fire Marshall) and in some instances act as a representative of the department.
7. Responsible for operating within the department budget parameters.
QUALIFICATIONS:
1. High school diploma (or GED). Additional training preferred.
2. Ideal candidates will have at least two (2) years relevant event experience.
3. Demonstrated commitment to providing world class internal/external guest service; proven leadership skills and the ability to build/motivate teams.
4. Proficiency in Word, Excel, and Outlook. Basic math skills a must.
5. Excellent interpersonal and written/verbal communication skills; must be able to convey information clearly, concisely, and effectively.
6. Strong planning, organizational, and project/time management skills; prioritizes work and can adapt as needed. Keen attention to detail with focus on quality and service.
7. Proactive, takes initiative, and exercises good judgment; creatively problem solves and handles a variety of situations in a professional manner.
8. Can operate effectively in an intense and dynamic guest service environment.
PHYSICAL REQUIREMENTS:
1. Ability to lift, pull, and push up to 50 pounds on a regular basis, and up to 100 pounds with assistance frequently.
2. Ability to climb stairs and ladders.
3. Work outside and inside in a variety of weather conditions with fluctuations in temperature.
4. Must have a valid driver’s license and be at least 19 years of age.
