What are the responsibilities and job description for the Medical Assistant & Surgery Scheduler (Full-time/Cody) position at billingsclinic?
Under general supervision, the
Medical Assistant assists in the delivery of patient care/treatment and
provides clerical and administrative support. Works collaboratively with the
Physician, Non-Physician Provider, RN, LPN, and other departmental personnel to
meet the physical, psychosocial, educational, and spiritual needs of the
patient and family.
The Surgery Scheduler is
responsible for coordinating clerical and administrative support functions
within the orthopedic surgery department. Supports unit activities to ensure
smooth functioning of the surgical process and assures the appropriate clinical
and insurance information is collected for the surgery scheduled.
Essential Job Functions
Medical Assistant Duties:
• Prepares room, equipment and
supplies as dictated by a particular examination, patient’s needs, and Billings
Clinic exam and procedure room cleaning guidelines.
• Orders and maintains clinical and
office supplies and equipment as directed.
• Maintains patient files, records
and other information. Adheres to confidentiality requirements.
• Receives and prepares patient for
examination and treatment as directed.
• Obtains and records history and
vital signs.
• May assist in preparing for minor
or routine procedures and physical exams.
• Charts and documents in medical
record.
• Collects laboratory specimens as
needed.
• Cleans and disinfects equipment
per Billings Clinic sterile processing guidelines.
• Administers influenza vaccine,
pneumococcal vaccines, and Td/TDAP to patients age 18 or older with appropriate
completion of competency requirements.
• Provides instruction to patients
as directed by physician, non-physician provider or documented in policies and
procedures.
Surgery Scheduler Duties:
• Responsibilities include but are
not limited to, referral processing, scheduling surgeries, collecting required
documentation/ records and physician relationships,
• Provides routine administrative
and secretarial support to the department staff including answering incoming
telephone lines and call coordination, surgery scheduling, and file management.
• Maintains a detailed knowledge of
the surgery scheduling processes, functionality and structure to ensure
Orthopedic Surgery Scheduling is seamless. Understands the implications of the
data and how the data is utilized. • Participates in maintaining the integrity of
the system data.
• Develops and maintains records and
files in an organized manner.
• Communicates appropriately with
customers to identify concerns and issues, investigates and coordinates
resolution of non-routine problems.
• Initiates appropriate follow-up to
ensure that all matters requiring attention are addressed promptly and
efficiently.
• Designs and produces documents,
forms, reports and data graphs for projects and programs based on needs
identified by the staff and/or leadership. Duties include data gathering,
database extractions, and data analysis for various projects and preparation of
a variety of reports and data graphs requiring independent judgment with
minimal supervision.
• Communication with patient on
expectations, e.g. being late for scheduled appointment, wait times.
• Able to assist with patient
service assistance needs as necessary and provide service recovery, e.g. coffee
cards, lunch, gas cards.
• Work with leadership on service
recovery as needed

Minimum Qualifications
Education
• High school diploma or GED
equivalent
• Some college or healthcare focused
classes preferred such as medical terminology, medical office practices, and
related topics - Preferred
Experience
• One (1) year customer service experience,
healthcare preferred.
• Six (6) months related work
experience in a health care environment required to develop proficiency in
basic Medical Assistant procedures and processes encompassing all age groups -
Preferred.
• Medical Assistant Certification
required within (12) months of start date. Billings Clinic will assist in
obtaining Medical Assistant certification
Certification / Licensure
• Medical Assistant Certification
acquired within one (1) year of hire - Billings Clinic will assist in obtaining
Medical Assistant certification.
• Ability to be insured to operate
organization vehicles, if required.
