We are a Texas-based law firm seeking a poised, professional, and highly organized Administrative Assistant to join our team. THE ROLE
As the first point of contact for clients, colleagues, and courts alike, our Administrative Assistant sets the tone for every interaction. This is an important role in a busy legal practice — keeping files in order, calendars on track, and communications flowing with precision and professionalism.
RESPONSIBILITIES & DUTIES
• Assist with scheduling, and deadline tracking with meticulous accuracy
• Greet clients and handle incoming communications — phone, email, and correspondence — with warmth and professionalism
• Prepare, proofread, and format documents, letters, and filings
• Maintain organized and up-to-date physical and electronic files
• Coordinate with courts, process servers, and other legal professionals as needed
• Assist with billing support, invoicing, and basic bookkeeping tasks
• Manage office supplies, vendor relationships, and general office operations
• Support attorneys with research tasks, project coordination, and special assignments
• Handle sensitive and confidential information with the utmost discretion
REQUIREMENTS
• Prior experience in a law firm, legal department, or professional services environment preferred
• Exceptional written and verbal communication skills — ability to write clearly, concisely, and correctly
• Strong command of Microsoft Office Suite (Word, Outlook, Excel) and comfort with legal software
• Highly organized with a natural ability to manage competing priorities without losing composure
• Detail-oriented to a fault
• Discreet, trustworthy, and professional in all circumstances
• A proactive mindset
• Notary Public certification is a plus, though not required
