Job Overview
Big Sky Psychological Consortium is seeking an Office Manager to join our dedicated, engaged, and growing team, manage daily and monthly office procedures, and work with us to develop our office and training program policies. Currently we are seeking someone who can work part-time (15-20 hours/week). Work will occur in person during normal office hours (Monday-Friday, 8am-5pm). There is some flexibility for days and specific times worked. Wage is commensurate with experience.

Duties

  • Initial screening of patient referrals
  • Work closely with the assessment coordinator to facilitate patient participation
  • Develop and update employee manual and office policy documents, as needed
  • Orient and onboard new employees including organization of employment paperwork
  • Interface with outside professionals as needed (accountant, webmaster, insurance company provider relations, etc.)
  • Monitor office supplies and order supplies as needed
  • Track payments from patients and insurance companies
  • Assist in payroll once per month
  • Work with senior management to improve office operations and procedures
  • Attend weekly office meetings (virtual) to discuss any relevant business issues
  • Secretarial tasks as needed
  • Work with insurance companies to understand benefits and patient financial responsibility

Qualifications

  • Strong written and verbal communication skills
  • Organizational skills and the ability to multi-task and complete a wide variety of tasks
  • Ability to accept instructions, see issues clearly, and develop solutions independently
  • Flexibility to adjust to new tasks should the group’s needs change
  • Strong interpersonal skills to interact positively with employees and patients
  • Leadership ability to manage challenges as they arise
  • Attention to detail to ensure tasks are completed thoroughly and correctly
  • Ability to master software used for practice management (Word, Excel, electronic health record)
  • Familiarity with HIPAA rules and regulations, especially related to confidentiality and professional behavior

Preferred candidates will have a high school diploma, associate degree or bachelor’s degree and have experience or familiarity with business administration/management. Previous experience working in health-related office will be an asset.

Pay: From $25.00 per hour
