Description
We are seeking a detail-oriented and proactive HR Administrator to support the daily operations of our Human Resources department. The ideal candidate will perform a variety of administrative duties, support employee lifecycle processes, and help ensure HR systems and documentation remain accurate and compliant. This role requires excellent communication skills in both English and Spanish, excellent organizational abilities, and a friendly, service-oriented approach to working with employees at all levels.
Pay Range: $50,000 - $60,000 annually (Non-Exempt)
Key Responsibilities:
Recruitment & Onboarding Support :
- Support the recruiting process by coordinating interviews and communicating with candidates
- Coordinate pre-employment drug testing with Tristate and driver candidates
- Submit and reconcile background checks; follow up on results as needed
- Facilitate onboarding and new hire documentation in collaboration with hiring managers and IT
- Schedule and coordinate all new hire orientations
- Assist in the completion of onboarding paperwork and new hire orientation sessions
- Send new hire communications to IT and hiring managers
- Send Paycom communications to new hires and current employees (e.g., credentials, password resets)
HR Systems & Records Management:
- Maintain and update employee and personnel records in accordance with Big Geyser and legal compliance standards
- Maintain accurate and up-to-date personal and personnel files (digital and physical)
- Assist with employee communications related to HR systems (e.g., Paycom password resets and access issues)
- Create and process employment verifications
Administrative Support & Compliance:
- Manage HR administrative duties such as document scanning, file audits, and mail distribution
- Distribute, scan, and organize incoming HR mail (e.g., garnishments, child support orders, medical documents)
- Assist with department-wide projects and HR initiatives as assigned
- Ensure HR processes are aligned with internal policies and labor law compliance
- Provide administrative support to the Chief Legal Officer
Qualifications
Required Qualifications:
- Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred
- Bilingual in English and Spanish (spoken and written)
- At least 2-3 years of experience in an administrative or HR support role
- Familiarity with HRIS systems such as Paycom, ADP, BambooHR, or Workday
- Excellent organizational, multitasking, and time management skills
- Strong attention to detail and ability to handle confidential information with discretion
- Clear and professional communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
