Overview
We are seeking a highly organized and proactive Office Manager/Bookkeeper to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong leadership abilities, excellent communication skills, and a knack for multitasking. This role is crucial in maintaining an efficient office atmosphere, managing databases, and supporting staff in various administrative tasks.
Responsibilities
- Learn and utilize software, including Bloomerang CRM. QuickBooks, and other databases.
- Manage billing, licenses, and credit card statements.
- Review and approve employee timesheets in QuickBooks.
- Staff onboarding, manage personnel files and hiring paperwork.
- Manage office supply inventory and place orders as necessary.
- Receive and sort incoming mail and deliveries.
- Complete bank deposits weekly.
- Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, and creating reports.
Qualifications
- Strong communication and customer service skills to interact effectively with staff, vendors, and visitors.
- Proficiency in office administration and administrative assistance, including organizing records, managing schedules, and supporting daily operations.
- Experience working with office equipment and basic technology tools used in a professional office setting.
- Solid bookkeeping skills, including accounts payable/receivable, bank reconciliations, and financial data entry.
- Attention to detail, accuracy, and ability to handle confidential information responsibly.
- Comfort working in a collaborative environment and managing multiple priorities.
- Experience in nonprofit or community-focused organizations is beneficial.
- Bachelor’s degree in accounting, finance, business administration, nonprofit management, or a related field preferred. Relevant bookkeeping and office management experience may be considered in place of a degree.
