We are seeking a proactive and organized Mail Clerk to join our dynamic office team! In this vital role, you will be responsible for managing all incoming and outgoing mail, ensuring timely and accurate delivery within the organization. Your energetic approach will help maintain smooth office operations, support administrative functions, and enhance overall efficiency. The ideal candidate will possess excellent organizational skills, strong attention to detail, and a friendly demeanor to provide exceptional customer service to staff and visitors alike.

Responsibilities

  • Sort, distribute, and process incoming mail and packages promptly and accurately
  • Prepare outgoing mail, including postage application and shipment arrangements
  • Maintain organized records of all mailed correspondence and deliveries
  • Operate multi-line phone systems to handle inquiries and direct calls efficiently
  • Manage front desk duties such as greeting visitors, answering questions, and providing support
  • Assist with office management tasks including filing, data entry, and document proofreading
  • Support clerical functions such as calendar management, scheduling appointments, and maintaining office supplies

Experience

  • Prior office experience or clerical experience preferred but not required; training will be provided
  • Familiarity with office management software such as QuickBooks, Microsoft Office Suite (Word, Excel), and Google Workspace is highly desirable
  • Strong computer literacy skills with the ability to perform data entry and manage digital files effectively
  • Excellent organizational skills with keen attention to detail in handling mail and administrative tasks
  • Bilingual abilities are a plus for supporting diverse staff and visitors
  • Demonstrated customer service skills with professional phone etiquette and positive communication style
  • Experience in medical or dental receptionist roles, personal assistant work, or bookkeeping is advantageous but not mandatory
