Legal Assistant / Paralegal – Estate Planning & Tax Law

Position Overview

We are seeking an experienced Legal Assistant, with paralegal experience preferred, to support our Estate Planning and Tax practice. This role is ideal for a detail-oriented professional who thrives in an advanced, client-focused environment and has experience working with high-net-worth individuals, families, and business owners. The Legal Assistant will play a critical role in the preparation and implementation of complex estate plans and in maintaining exceptional client service standards.

Key Responsibilities

• Prepare, format, and proofread advanced estate planning documents, including wills, revocable and irrevocable trusts, powers of attorney, and related documents.
• Assist attorneys with drafting, assembling, and organizing estate plans and supporting documentation.
• Coordinate execution of estate planning documents, including overseeing signings and ensuring proper formalities are met.
• Maintain and organize client files, both physical and electronic, with a high degree of accuracy and confidentiality.
• Communicate professionally with clients, financial advisors, accountants, and other professionals to facilitate implementation of planning strategies.
• Manage calendars, deadlines, and task lists to ensure timely completion of client matters.
• Assist with trust funding and asset transfer processes, including preparation of deeds, assignments, and beneficiary designations.
• Prepare correspondence and handle routine client inquiries with professionalism and discretion.
• Support ongoing client relationships by helping ensure a smooth and organized client experience.
• Track and assist with post-execution follow-up and long-term file maintenance.

Qualifications

• 3 years of experience as a Legal Assistant or Paralegal, preferably in estate planning, tax, or a related practice area.
• Paralegal certificate or equivalent experience strongly preferred.
• Experience preparing and handling estate planning documents required.
• Strong organizational skills and exceptional attention to detail.
• Ability to manage multiple priorities and deadlines in a fast-paced environment.
• Excellent written and verbal communication skills.
• High level of professionalism and ability to work with confidential and sensitive information.
• Proficiency with Microsoft Office and document management systems.
• Ability to work both independently and collaboratively within a team.
