Better Health is a non-profit organization addressing unmet healthcare needs in Cumberland County. Seeking a compassionate and skilled team player to support our programs and services to the community. Position would be part time, approximately 30 hours per week.
- Assist the Executive Director with critical organizational functions including evaluation of program efficiency.
- Assist in the execution and implementation of new programs and policies.
- Maintain website and social media sites.
- Answer multi-line telephones, route calls, take messages, follow -up as necessary.
- Assist with obtaining documentation of all clients.
- Ensure client confidentiality is maintained.
- Assist clients with the Medical Equipment Loan Program.
- Assist with organizing and maintaining Medical Supply Closet and Medical Equipment.
- Assist with grant writing and prepare grant reports for submission.
- Track sales tax expenditures and prepare paperwork for reimbursements.
- Assist with mailings as needed.
- Assist with newsletter development.
- Update mailing and email addresses in software program.
- Assist in Board Meeting preparation.
- Attend meetings and functions as a representative of the Executive Director when necessary and appropriate to include community events.
- Provide data entry support as time allows.
- Coordinate birthday card process for volunteers.
- Coordinates office repairs, contractors, meetings or appointments as directed by Executive Director.
- Complete office inventory in June of each fiscal year.
- Oversee and approve volunteer paperwork and scheduling for volunteer activities.
- Assist with organization fundraisers including attending meetings, tracking sponsors and sending notifications.
- Assist with donor communication grid including notifying board members of donations made and coordinating the appropriate communication (phone call, letter, etc).
- Assist Executive Director with human resources functions to include but not limited to reviewing files for completion, screening applicants, staff and volunteer training, and payroll and payment functions in the absence of the ED, etc.
- Other duties as assigned by the Executive Director.
Education and training: The applicant should have strong computer and administrative skills. Some course work or volunteer experience in a health/pharmacy related field preferred. Bachelor’s degree preferred.
1 year of experience as an Executive Assistant preferred.
Knowledge, skills and abilities required: Strong verbal and written communication abilities and excellent attention to detail are required. Proficiency using office equipment such as printers, fax machines, etc. Multitasking and organizational ability is required. Capacity to relate to people from various backgrounds is a must. Strong computer skills to include, but not limited to Microsoft Office (Word, Excel and Access in particular) are needed.
Physical Requirements: Visual acuity to review data. Speaking and hearing to converse with individual members of the organization and community and to be able to address various groups. Physical ability to move supplies and medical equipment. Ability to lift 20 lbs. Able to sit at a desk for up to 2 hours at a time. Keyboard for up to 2 hours at a time. Drive locally to pick-up items/drop off paperwork, etc. Use the multi-line telephone equipment, copier and fax machine.
