Job Summary
Better Community Neighborhoods, Inc. (BCNi) is seeking an experienced Office Manager / Executive Administrative Assistant to support executive leadership and oversee daily office operations at our Schenectady headquarters.
This is a mid-level administrative position that provides direct support to the CEO and CFO, manages front-office operations, and performs accounts payable and financial data entry using QuickBooks Online.
This role is fully in-person and requires prior office management experience.
Key Responsibilities
Office Management & Front Desk Operations
- Serve as primary front desk presence
- Manage walk-ins and high call volume
- Triage housing program inquiries
- Accept rent payments and maintain accurate records
- Coordinate office vendors, equipment, supplies, meeting spaces, etc.
- Manage general organizational email accounts
Finance & Accounting Support
- Enter and code invoices in QuickBooks Online
- Support accounts payable processing
- Track PTO in Excel
- Organize financial documentation for reporting
- Provide ongoing support to the CFO as needed
Executive & Board Support
- Provide general support to the CEO
- Assist with preparation for Board meetings
Administrative & Systems Coordination
- Maintain shared drive organization
- Coordinate IT onboarding/offboarding
- Maintain labor law postings and office compliance documentation
- Manage office calendars, shared facility use and related activities
- Provide general support for day-to-day operations of facilities
Required Qualifications
- Minimum 3 years of office management or executive administrative experience
- Hands-on QuickBooks Online experience required
- Experience with accounts payable or invoice entry
- Strong Microsoft Office skills (Word, Excel, Outlook)
- High attention to detail and organizational ability
- Ability to work independently with minimal supervision
- Professional communication skills and discretion
This is not an entry-level administrative role.
Compensation & Benefits
Salary range: $45,000–$55,000 per year, commensurate with experience.
